We are seeking an in-office Sales Team Assistant to support one of our top-performing brokerage teams. This role focuses on providing operational, administrative, and marketing support across all phases of a retail property transaction. The ideal candidate is organized, detail-oriented, and confident managing multiple tasks in a fast-paced environment.
Key Responsibilities:
• Coordinate daily workflow and provide administrative support to the brokerage team
• Help prepare listing presentations, marketing packages, and client proposals
• Schedule and manage meetings, calendars, and travel
• Maintain accurate deal-related information in CRM and shared platforms
• Assist with drafting, formatting, and proofreading client communications and business agreements
• Manage third-party postings for accuracy, updates and leads
• Monitor marketing efforts and coordinate with internal and external teams to ensure deadlines are met
• Track key milestones and manage internal checklists across active transactions
• Support marketing mailings, email campaigns, and property website updates
• Requires discretion with client and deal-related information
Skills/
Qualifications:
• Bachelor’s degree preferred in Business, Marketing, Communications, or a related field.
• Strong written and verbal communication skills.
• Strong attention to detail and accuracy
• Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
• Familiarity with CRM or client database a plus
• Ability to prioritize and manage time effectively
• Strong follow-through and problem-solving skills
• Team player with a positive attitude and proactive mindset
• PC computer and windows applications
• Basic understanding of commercial real estate terminology and market (not required)
Additional Requirements:
• Standard workdays are Monday thru Friday
• Position based in-office, Corona Del Mar, CA.
• Our office requires stair access. Candidate must be able to walk up and down a flight of stairs as part of daily activities
• Minimal travel may be required
• Flexibility for over-time/evening work if needed (e.g., for proposal deadlines)
Position Includes:
• Medical, Dental benefits
• PTO and holiday days (changes annually)
Salary Range:
• $55,000 to $65,000 compensation based on experience
