We’re seeking an experienced Executive Assistant to the President/CEO who thrives in high trust, fast paced environments. This Executive Assistant role is pivotal in ensuring the CEO’s time is protected, priorities remain aligned to company objectives, and communication flows seamlessly across senior leadership, board members, and external partners. You will operate as a true strategic partner, not just administrative support.

- Managing a complex executive calendar across strategic meetings, operational reviews, investor discussions, and travel
- Acting as gatekeeper for inbox, calls, and meeting requests to ensure focus on high value priorities
- Preparing professional correspondence, reports, and PowerPoint presentations for internal and external audiences
- Coordinating executive and leadership meetings including agenda preparation, detailed note taking, and action tracking
- Supporting strategic initiatives by tracking deadlines, KPIs, deliverables, and cross functional alignment
- Managing domestic and international travel logistics including detailed travel briefs and expense reporting
- 5+ years experience as an Executive Assistant supporting C suite executives
- Advanced proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint, with familiarity using project management tools
- Strong executive level calendar, inbox, and task management expertise
- Experience with in fitness, hospitality, or retail environments preferred
- Exceptional written and verbal communication skills
- High levels of professionalism, discretion, and confidentiality
- A proactive mindset with strong organisational and problem solving capability
Fully office based in Newport Beach, CA. Standard office hours Monday to Friday.
