Compensation: $31.00 – $34.00 per hour
Location: Newport Beach, CA
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Position OverviewThe Patient Membership Coordinator serves as the primary touchpoint for current and prospective members, delivering a seamless, concierge-level experience. This role manages member onboarding, membership billing logistics, and relationship maintenance while providing high-level administrative support to executive leadership.
Key ResponsibilitiesMember Relations & Onboarding
- Serve as the dedicated liaison for members, responding to practice inquiries via phone and email with a polished, high-touch approach.
- Guide prospective members through intake, schedule consultations, and coordinate physician introductions and office tours.
- Facilitate full new-member onboarding: execute contracts, capture payment details, request prior medical records, and build profiles across CRM, EHR, and accounting platforms.
- Welcome new members by preparing welcome materials, facilitating team introductions, and sending personalized correspondence.
- Conduct quarterly outreach to platinum members to track satisfaction; gather and communicate member feedback to leadership.
- Address service concerns promptly, escalating complex issues to the COO/Practice Director when necessary.
- Process membership disenrollments and assist leadership with exit interviews.
- Prepare and distribute recurring membership dues notices and invoices (monthly, quarterly, bi-annually, annually).
- Address billing inquiries and proactively resolve expiring payment methods to prevent coverage lapses.
- Manage past-due account outreach for balances 1–60 days overdue; elevate accounts 90+ days past due to executive leadership.
- Provide direct operational and administrative support to the COO/Practice Director, including calendar management and meeting scheduling.
- Maintain organized physical and digital vendor files, administrative records, and internal documentation.
- Assist with weekly check runs, vendor payment coordination, and special operational projects.
Required:
- Proven multi-year background delivering top-tier concierge customer service.
- Proficiency with CRM platforms, EHR systems, Microsoft Office Suite, and web research tools.
- Outstanding written and verbal English communication skills.
- Strong organizational, administrative, and multitasking capabilities with sharp attention to detail.
- Basic financial acumen with experience handling billing, invoicing, or payment processing.
- Prior experience in healthcare, particularly within a concierge or private-pay medical practice setting.
