We are seeking a Director of Executive Office to support the Founder & CEO of a leading, rapidly-growing law firm. This is a unique opportunity to become a strategic partner to the CEO, overseeing every aspect of his executive and personal operations while helping build and elevate the executive office function. This role is ideal for a polished, highly organized professional who thrives in a fast-paced environment, anticipates needs before they arise, and enjoys serving as the central hub between the CEO, his family, the executive leadership team, and external advisors.
Key Responsibilities- Act as the primary gatekeeper and a strategic partner to the CEO.
- Develop systems, processes, workflows, and structures to improve efficiency and impact across the CEO's personal and professional life and create a best-in‑class executive office.
- Manage a complex calendar across business and personal commitments.
- Coordinate domestic and international travel, including private aviation logistics, itineraries, accommodations, transportation, and meeting schedules.
- Prepare meeting materials, agendas, and briefing documents, and seamlessly track and manage follow‑up action items.
- Coordinate communication with executive leadership, partners, and advisors (including attorneys, accountants, financial planners, and tax professionals) to ensure all projects remain organized and on track, operating with discernment to elevate relevant issues to the appropriate parties.
- Serve as a trusted point of contact for the CEO's family as personal needs arise, and support occasional family‑related requests while maintaining professional boundaries.
- Manage sophisticated personal logistics including residences, real‑estate matters, family scheduling, household vendors, and service providers.
- Manage and mentor an Executive Assistant, ensuring day‑to‑day administrative operations within the law firm run smoothly, as well as other personal employees of the CEO (e.g., House Manager).
- 5–7+ years of experience supporting senior executives, founders, or UHNW principals.
- Proactive, high‑energy personality that thrives in a fast‑moving environment.
- Extremely high sense of ownership and excitement to solve problems.
- Prior experience managing both executive and personal affairs simultaneously, with demonstrated ability to manage and mentor personnel across both spheres.
- Experience handling complex travel, real‑estate, financial, and household coordination.
- Demonstrated ability to mentor or oversee junior administrative professionals.
- Outstanding organizational skills with exceptional attention to detail.
- Strong judgment and absolute discretion in all matters.
- Excellent written and verbal communication skills.
- Willingness to work periodically from the Founder's Laguna Beach residence.
- A legal, family office, private wealth, or professional services background is a plus, but not required.
Newport Beach and Laguna Beach, CA (fully in‑person)
Compensation$175,000–$200,000+ base salary, plus discretionary bonus and comprehensive benefits
