Position Summary:
The Contracts Administrator will support the Reinvestment Contracts department in various functions. Primarily, the role will be responsible for contract and change order processing including document preparation and upload into the financial system. The role will also assist in other duties within the contracts group.
Job Duties:- Process Contracts and Change Orders.
- Prepare legal document through Sharepoint platform system.
- Upload financial information into SAP.
- Route documents for electronic signature.
- Document printing and filing.
- Archiving Departmental documents in Accutrac.
- Consultant Close Outs:
Process all Consultant close out change orders in SAP. - Assist in tracking recorded Mechanic’s Liens, Stop Notices and Intents to Lien and obtaining releases of Mechanic’s Liens, Stop Notices and Unconditional Lien Releases.
- Process Master Contracts for Consultants as needed.
- Prepare, route and record Notice of Completion and assist in tracking log.
- Coordination with Reinvestment Finance, Project Management and Construction Management as necessary.
- Provide support for Construction Administration.
- Assist in preparing documents and compiling bid packages.
- Support electronic document delivery using Skysite. Set up folders and groups within our cloud based program and provide access to internal and external members.
- Tracking of bidding dates
Perform Special Projects required by Management as necessary.
Minimum Qualifications / Other Expectations:- 2 - 5 years experience in a related role.
- Flexibility, Attention to detail and excellent organization skills a must.
- Intermediate computer skills in Microsoft Excel, Word and Outlook and Google Platforms.
- Ability to work proactively and autonomously on a daily basis.
- SAP experience preferred.
- General knowledge of Apartment Development/Redevelopment a plus.
