We are seeking a highly organized, proactive, and intuitive Executive and Business Operations Assistant to serve as a strategic partner to our CEO and leadership team.
The RoleThis role reports directly to the CEO of Elevate Financial Partners and works closely with the leadership team across all affiliated entities.
The Executive and Business Operations Assistant serves as an extension of the CEO internally and externally, interacting with clients, advisors, strategic partners, vendors, and staff. This individual must demonstrate sound judgment, discretion, organizational intelligence, and the ability to anticipate needs before they arise.
This is not a transactional administrative role. It is a high trust, high impact position requiring strategic awareness and operational execution.
Key Responsibilities Executive Support- Anticipate the needs of the CEO and proactively create solutions
- Direct and manage the CEO’s calendar to ensure highest and best use of time
- Manage an exceptionally active calendar, both professional and personal
- Prepare correspondence, reports, presentations, and executive communications
- Coordinate complex travel arrangements and itineraries
- Act as a gatekeeper and liaison between the CEO and internal and external stakeholders
- Maintain strict confidentiality across all business matters
- Track commitments, follow ups, and strategic initiatives through completion
- Support leadership meetings by preparing agendas, capturing notes, assigning accountability, and ensuring follow through
- Support client and advisor communications on behalf of the CEO and COO
- Comfortable and professional on the phone facilitating complex financial planning strategies
- Communicate clearly with clients, advisors, carriers, and internal team members to ensure smooth case progression
- Prepare and organize client meeting materials, reports, and correspondence
- Track client and advisor action items to ensure follow through and accountability
- Escalate sensitive or complex matters to the CEO or COO as appropriate
- Demonstrate strong relational skills and the ability to build trust while maintaining professionalism and discretion
- Maintain strict confidentiality in all client and advisor interactions
- Three to five years of experience supporting senior executives, partners, or leadership teams within financial services, professional services, or a similarly complex, client focused organization
- Bachelor’s degree in finance, business, economics, or a related field strongly preferred
- Prior experience in wealth management, financial planning, investment advisory, private client services, or insurance related environments preferred
- Demonstrated experience coordinating complex workflows, client onboarding processes, and multi stakeholder initiatives
- Comfortable communicating with high net worth clients, advisors, and external partners in a professional and composed manner
- Strong phone presence with the ability to discuss and facilitate complex financial planning strategies at a high level
- Exceptional organizational, time management, and follow through skills
- Proven ability to handle sensitive information with discretion and confidentiality
- Advanced proficiency with Microsoft Office, Google Workspace, and CRM or workflow management systems
- Ability to operate in a fast paced, entrepreneurial environment with shifting priorities and minimal oversight
