Sidoxia Capital Management is seeking a highly organized, detail-oriented Client Service & Operations Associate to become an integral part of our team. This part-time, hybrid role combines client service, operations, and administrative responsibilities, serving as the operational backbone of the firm.
The ideal candidate enjoys creating efficient processes, delivering exceptional client service, managing multiple priorities with precision, and working directly with senior leadership in a fast-paced advisory environment. This position offers the opportunity to develop expertise in wealth management operations while building meaningful relationships with clients.
Key Responsibilities:Client Service & Relationship Support
- Serve as the primary point of contact for day-to-day administrative client requests.
- Provide exceptional service through professional phone, email, and in-person communication.
- Assist clients with online portal setup, beneficiary updates, account maintenance, and general service requests.
- Prepare client meeting materials and coordinate meeting logistics.
- Communicate with prospective and existing clients regarding account documentation and follow-up requests.
- Manage end-to-end account opening for individual, joint, trust, retirement, and entity accounts.
- Prepare and process account transfer paperwork (ACATs/TOAs) and monitor transfers through completion.
- Process daily custodian service requests through Charles Schwab Advisor Services.
- Organize client account information in preparation for portfolio trading and ongoing account maintenance.
- Assist with ACH transfers, wire transfers, journals, and check requests.
- Perform verbal callback verifications and maintain strict security and fraud-prevention procedures.
- Ensure accuracy and timely completion of all client transactions.
- Assist with quarterly client reporting and billing processes.
- Reconcile account data and maintain accurate client records.
- Support document management, electronic filing, and records retention.
- Maintain internal procedures, vendor information, and operational documentation.
- Coordinate office administration and provide executive support to firm leadership as needed for various needs, including travel and client meetings.
Experience
- Bachelor's or Associate's degree preferred; equivalent professional experience will be considered.
- 2+ years of experience in client service, office administration, operations, executive support, or a related administrative role.
- Experience in financial services, wealth management, or an RIA is preferred but not required. We are happy to train the right candidate with strong administrative and organizational skills.
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook) or Google Workspace.
- Comfortable learning financial software, lead-generation marketing service, custodial platforms, e-signature tools, and cloud-based document management systems.
- Strong computer aptitude with the ability to quickly master new technologies.
- Outstanding written and verbal communication skills.
- Exceptional attention to detail with strong organizational and time-management abilities.
- Ability to prioritize multiple projects while maintaining accuracy.
- Professional, polished, and client-focused demeanor.
- High level of integrity and discretion when handling confidential financial information.
- Self-motivated, adaptable, and proactive with a continuous improvement mindset.
- Comfortable working both independently and collaboratively in a small, entrepreneurial team.
