We are currently seeking a Legal Administrative Assistant in our Newport, RI location. This is a busy, newly renovated, office within walking distance to downtown. This position offers an outstanding opportunity for an initiative-taking individual looking to be an impactful contributor to our winning team! SUMMARY:Responsible to perform an array of administrative and secretarial duties to provide support to lawyers and paralegals in their day-to-day activities. May conduct research, schedule meetings, create documentation, and perform administrative functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:- Assist lawyers and paralegals with administrative tasks.
- Editing, formatting, and comparing lengthy legal corporate documents.
- Assist with pre- and post-closing preparations.
- Draft detailed correspondence, legal documents, forms, and presentations under attorney supervision.
- Initiate client matter opening, conflict process, draft engagement letters and process client documentation.
- Assist with attorney timekeeping using iTimeKeep software.
- Communicating with clients, opposing counsel and third parties. Answering, screening, and placing calls. Communicating messages in a timely manner.
- Perform file maintenance; daily record keeping with electronic and hard copy filing of documents.
- Electronic court filings, docket reports, and downloading proceedings.
- Calendar management, monitor and calendar deadlines and court proceedings through use of Vision software.
- Liaise with Accounting Department to submit invoices, reimbursements, and check requests.
- Perform accurate legal research and analysis.
- Compile, proofread, and revise drafts of legal documents and reports.
- Obtain relevant information from other organizations or agencies.
- Create and organize information and generate reference tools for easy use by the office.
- Prepare and format legal and management reports.
- Maintain and update databases and tracking systems.
- Respond to all case-related queries.
- Ensure efficient and effective administrative information and assistance.
- Prepare court materials.
- 5+ years prior experience in a legal environment.
- Analytical thinker with ability to manage a varied workload to meet deadlines.
- Capability to perform complex and substantive legal tasks as a high-functioning legal administrative assistant.
- Extensive knowledge of e-Filing procedures and state and federal rules and procedures.
- Ability to grasp and interpret legal documents.
- Systematic knowledge of databases and tracking systems.
- Fantastic organizational skills and detail oriented.
- Ability to work under pressure and meet deadlines.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office including Excel, Word, and Outlook.
- Prior experience working with Net Documents preferred.
- Excellent verbal and written communication skills.
- Outstanding multi-tasking and time-management skills.
- Professional maturity and ability to handle confidential client and firm data in a discrete manner.
- Professional and poised demeanor.
- Self-starter with a keen attention to detail.
- Detail-oriented and well-organized.
- Sitting for extended periods of time.
- Dexterity of hands and fingers to operate a computer keyboard mouse, and other computing equipment.
