General DutiesTo assure the smooth and efficient operation of the school office so that the office’s maximum positive impact on the education of the students can be realized and to provide secretarial services to the Principal.
Education, Training, and Experience- Graduation from high school, supplemented by secretarial and/or business training;
Associate’s Degree desired. - At least two (2) years of experience in an administrative support role.
- Excellent computer skills (word processing, spreadsheets, databases, e‑mail, Internet) and the ability to learn Power Point and any other computer programs required for the position.
- Knowledge of the Munis financial accounting system and ASPEN student information system is a plus.
- Bookkeeping and financial skills with the ability to coordinate with outside vendors; keying speed of 45 wpm.
- Ability to compose, proofread, and edit meeting minutes and written communications.
- Strong attention to detail and excellent organizational skills with the ability to maintain and implement new office systems for the school office.
- Excellent communication and interpersonal skills needed to deal professionally with staff and the public.
- Ability to work within a team, as well as operate independently, demonstrating initiative and sound‑decision making.
- Demonstrated ability to perform the responsibilities below as evidenced by coursework, previous experience, testing, and the interview process.
- Alternative qualifications may be accepted if the above cannot be met.
- Supervise and assist in the assessment of clerical staff.
- Obtain, organize, and disseminate pertinent data relating to the various functions of the school office.
- Compose routine correspondence and prepare correspondence, meeting notices, etc., from written drafts, notes, or outlines.
- Attend meetings as directed by the principal to obtain and disseminate information.
- Process all incoming correspondence for the principal.
- Assist in the preparation of budgets and monitor expenditures for record keeping, budget control, and planning.
- Research, order, and track supplies needed for the school.
Maintain calendars, make arrangements for conferences and meetings, and assist in school events and activities such as graduation, summer orientation, parent conferences, and student scheduling. - Take minutes of administrative meetings as required by the principal or designee.
- Interpret policies and procedures to staff, students and the public.
- Understand and maintain complete confidentiality in all aspects of this position.
- Perform the usual office routines and practices associated with a busy, yet productive and smoothly run office, as well as any other duties assigned by the principal or designee.
Walking, stooping, reaching, talking, lifting (10-pound minimum), hearing, standing, kneeling, carrying, fingering/keyboarding, seeing, sitting, and driving.
Terms of EmploymentFull time, twelve months. Salary and benefits in accordance with Support Staff contract. Pay Grade 10 ($26.18), 35 hours/week, 7:00 a.m. – 2:30 p.m. with ½‑hour non‑paid lunch break.
