Operations and Event Assistant (Part-Time)

Job Description:

BASIC FUNCTION:

The Office of Student Engagement (OSE) promotes student success and engagement by focusing on three areas: co-curricular learning, leadership, and student development. The Operations and Event Assistant will help manage the day-to-day facility and event operations of Gerety Hall and the Papitto Pavilion. This includes overseeing the welcome desk customer service experience in the evening hours, providing support to the Gerety Hall Student Workers, managing facility amenities, and ensuring the successful execution of programs within these specific venues.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Gerety Hall and Papitto Pavilion Operations:

  • Provide coverage and support at the Gerety Hall Welcome Desk during evening hours, serving as a welcoming resource and primary point of contact for students, staff, and guests.
  • Assist in the daily operations of the Gerety Hall Student Center and the Papitto Pavilion, helping to ensure spaces remain welcoming, clean, and orderly.
  • Support Gerety Hall Student Workers in preparing spaces for events, checking in hosts, and completing post-event breakdown and resetting as needed.
  • Support the operations of specialized building amenities, including the golf simulator, by helping to monitor proper usage and equipment condition.
  • Serve as an on-site point of contact for facility incidents during shifts.
  • Assist in capturing and maintaining records and program data to support office-wide assessment efforts.
  • Participate in university-wide yield programs and events, including open houses, Connection Day, and other traditional programs
  • Work major events for the Office of Student Engagement, such as Fall Festival Weekend, Spring Week, Orientation, and Senior Week.
  • Evening or weekend hours will be required.

OTHER

DUTIES AND RESPONSIBILITIES:

  • Performs other duties as may be assigned by the Director of Student Engagement.
  • This position is classified as an "essential position". During the academic year, when students are on-campus, employees who occupy an essential position ("essential personnel"), may be required to be on campus during emergencies, when work and/or classes have been cancelled. Essential personnel will be notified by their supervisor if they're required to be on-campus during such emergencies.

LICENSES, TOOLS, AND EQUIPMENT:

Valid driver's license required.

ENVIRONMENTAL CONDITIONS:

The incumbent is not subject to adverse environmental conditions.

WORK SCHEDULE:

Part-time, 25-hours per week, 10-months per year

Requirements:

Required:

  • High school diploma or GED

Valid driver's license required.

One (1) year of administrative, customer service, office support, hospitality, or event-related experience, or an equivalent combination of education and experience.

Strong organizational skills with the ability to manage multiple tasks and meet deadlines.

Excellent verbal and written communication skills.

Demonstrated customer service skills with the ability to interact professionally with diverse populations.

Strong attention to detail and accuracy.

Ability to work independently and collaboratively in a team environment.

Ability to lift and move materials weighing up to 25 pounds and assist with event setup and breakdown.

  • Willingness to work evenings and weekends in support of events.

Preferred:

  • Associate's degree in business administration, communications, hospitality, event management, or a related field.
  • Experience coordinating meetings, conferences, or special events.
  • Experience working in a higher education, nonprofit, or customer-facing office environment.
  • Familiarity with event registration or scheduling software
  • Experience providing front desk reception and executive administrative support.
