Role DescriptionThe Customer Service Representative is a full-time, on-site role based at Newport Veterinary Hospital in Newport, VT. This position serves as a primary point of contact for clients, greeting and getting clients and patients settled in rooms, answering phone calls, and responding to email and text inquiries in a timely and professional manner. Day-to-day responsibilities include scheduling appointments, checking clients in and out, processing payments, and updating client and patient records accurately.
The role also involves coordinating with veterinary staff to relay information, explain hospital policies and services, and support a smooth visit experience. The Customer Service Representative helps maintain a clean, organized reception area and consistently promotes a positive, respectful environment for clients, patients, and team members. They are also the first and last person that the clients see. This holds a great responsibility for trust, kindness and compassion in the person serving this role.
- Strong customer-facing skills, including experience in Customer Service and Customer Support roles.
- Ability to promote positive Customer Experience and maintain high levels of Customer Satisfaction.
- Background working with or as Customer Service Representatives, preferably in healthcare, veterinary, or similar service environments.
- Clear, professional verbal and written communication skills and active listening abilities.
- Comfort with computer systems, scheduling software, and accurate data entry.
- Organizational skills with attention to detail and the ability to manage multiple tasks at once.
- Demonstrated reliability, teamwork, and a calm, empathetic approach to clients and animals.
- High school diploma or equivalent required; prior receptionist or front desk experience is beneficial.
