The Union has approximately 450 staff in sixteen offices from Boston to Miami. 32BJ SEIU represents over 185,000 property service workers including janitors, security officers, airport workers, and food service employees in eleven states and Washington, DC. 32BJ is an affiliate of SEIU, the Service Employees International Union, which has two million members dedicated to raising industry standards and making life better for all working families and communities.

DUTIES AND RESPONSIBILITIES
District 615 of 32BJ SEIU represents 20,000 members in Massachusetts, Rhode Island and New Hampshire. We are seeking an Administrative Manager, based in the Boston office, who will be responsible for the administrative and logistical support for 2 office locations with approximately 40 staff.

Responsibilities include, but are not limited to the following tasks with minimal supervision:

  • Supervise an administrative team of two, including staff development, time sheets, and office reception operations.
  • Support human resources needs including on/off boarding and assisting with recruitment.
  • Oversee building management and maintenance (in coordination with the building landlord) for the Boston and Providence offices, vendor contracts, and meeting and event logistics.
  • Oversee logistical support for campaign operations, including maintaining inventory, ordering equipment and supplies, and organizing transportation and space as needed.
  • Provide administrative and clerical support to the district Staff Director, specifically with respect to personnel, data management and reporting, financial controls, planning, and staff meetings.
  • Liaise with headquarters office (based in New York City) for purposes of human resources, payroll, accounting, Information technology, union contracts, and office services.

QUALIFICATIONS AND EXPERIENCE

  • Experienced office manager with demonstrated track record managing a large, fast-paced office.
  • Ability to adhere to established policies and procedures.
  • Demonstrated ability to handle confidential material and information in a professional manner.
  • Excellent time management skills, including the ability to multi-task and prioritize work.
  • Excellent communications skills – verbal and written – including effective business writing.
  • Proficiency in MS Office, including Word (mail merge), Excel, Outlook and Power Point; ability to learn internal data and workflow systems required; advanced excel skills and database management preferred.
  • Attention to detail and problem-solving skills, including effective troubleshooting – anticipating and finding solutions to developing problems
  • Strong organizational and planning skills in a dynamic environment.
  • Ability to work as part of a team, as well as being a motivated self-starter.
  • Strong interpersonal skills, particularly the ability to work with a diverse group of members.
  • Experience with, and commitment to, social justice issues are not required but a plus.
  • Fluent written and oral Spanish preferred but not required.

WORK ENVIRONMENT

  • This position is a full-time, in-person position that occasionally requires long and irregular hours, including some nights, weekends and holidays.
