Our team works collaboratively across clinical, admissions, and operations to support long-term wellness, stability, and sustained recovery.

The Opportunity

The Front Desk Coordinator is the first point of contact for the clinic and plays a key role in daily operations. This position combines front desk responsibilities, insurance verifications (including verification of benefits/VOBs), admissions support, and direct administrative assistance to the Program Director. The ideal candidate is organized, reliable, comfortable on the phone, and able to manage multiple priorities in a fast-paced clinical environment.

  • Greet patients, families, and visitors in person and ensure a positive first impression.
  • Schedule appointments, intakes, and follow-up calls as directed.
  • Maintain patient confidentiality and always comply with HIPAA.
  • Complete insurance verification of benefits (VOBs) for all new admissions and scheduled patients (deductibles, copays, out-of-pocket max, authorization requirements).
  • Communicate insurance information clearly to the Program Director and admissions/clinical team.
  • Follow up with insurance companies as needed to clarify benefits or resolve discrepancies.
  • Assist the admissions team with intake-related tasks as assigned (collecting/organizing required documentation, coordinating scheduling and logistics).
  • Communicate professionally with clinical staff, leadership, insurance representatives, and external partners.
  • Provide administrative support to the Program Director (scheduling, coordination, basic reports/spreadsheets, tracking forms/signatures, supporting compliance logs).
  • Maintain cleanliness and organization of the front desk/lobby/shared areas; monitor supplies and coordinate reorders.
  • Assist with scanning, filing, and document management; support staff with operational tasks as needed.
  • Perform other duties as assigned to support clinic operations.

  • Insurance verification experience preferred (or willingness to learn quickly).
  • Strong phone etiquette and clear, professional communication skills.
  • Organized, detail-oriented, dependable; able to multitask and prioritize in a busy clinical setting.
