This is an on‑site position with Altman Nussbaum Shunnarah Trial Attorneys in Newton, Massachusetts.
Position SummaryThe Administrative Assistant is responsible for managing inbound and outbound mail operations for the firm, ensuring timely handling of checks, legal documents, and sensitive materials while maintaining compliance with firm procedures and document management protocols. This role also provides administrative support related to settlement processing, correspondence, and document coordination across departments.
Key Responsibilities- Open and process mail daily in accordance with firm procedures.
- Route court documents, legal correspondence, and checks to the appropriate departments.
- Identify and properly handle sensitive or confidential documents.
- Maintain accurate and organized physical and electronic records.
- Prepare and process outbound mail and correspondence.
- Assist with settlement check distribution and related documentation.
- Coordinate cover letters, breakdowns, and administrative documentation as needed.
- Greet and assist clients, vendors, and visitors in a professional manner.
- Maintain reception and common areas in an organized and professional appearance.
- Assist with general front desk administrative support as needed.
- Prior administrative, legal assistant, mailroom, or reception experience preferred.
- Strong organizational skills and attention to detail.
- Ability to prioritize time‑sensitive tasks in a fast‑paced environment.
- Comfortable handling confidential and sensitive information.
- Experience with document scanning systems and case management software preferred.
- Strong written and verbal communication skills.
- Ability to follow detailed procedures and work independently.
- Familiarity with legal office operations and settlement processing.
- Experience using document and/or case management systems.
- Ability to multitask and manage competing priorities effectively.
- Team‑oriented mindset with strong accountability and follow‑through.
- Bilingual in English & Spanish.
- Professional law firm office setting.
- Fast‑paced and deadline‑driven environment.
- High level of confidentiality and accountability required.
- Collaborative role supporting attorneys, leadership, vendors, and administrative staff.
- $40,000 - $50,000 annually
