Office Administrator/ Coordinator
Our client is seeking a highly organized Administrative Coordinator to support daily office operations and assist key staff with administrative, communication, and meeting coordination tasks. This is a part-time contract role with the potential to convert to a permanent position.
Responsibilities
• Provide administrative support to leadership and staff
• Prepare correspondence, reports, and business documents
• Manage incoming and outgoing mail and package distribution
• Answer and route incoming phone calls and greet visitors
• Maintain organized digital and physical filing systems
• Digitize and manage records stored in off-site document facilities
• Support document retention policies and records management procedures
• Monitor office supplies and coordinate equipment needs
• Assist with scheduling and coordinating staff, Board, and committee meetings
• Prepare meeting minutes and maintain corporate records
• Support coordination of member meetings and special events
• Maintain corporate policy and administrative manuals
• Process and distribute marketing materials to members as requested
Qualifications
• Previous administrative, office coordination, or receptionist experience
• Strong organizational and document management skills
• High attention to detail and ability to manage confidential information
• Proficiency with Microsoft Office and basic office systems
