Job Summary
We are seeking a Full‑Time, 40‑hour Clinic / Practice Assistant to support our outpatient Rheumatology office on the Newton‑Wellesley Hospital main campus (2000 Washington Street, Newton, MA). The position is Monday‑Friday 8:30 am‑5:00 pm.
Responsibilities- Perform routine administrative and clerical duties for a clinical service or physician practice office.
- Make patient appointments, maintain appointment records, and assist callers with routine inquiries.
- Process patient billing forms and scan documents into the patient medical record / LMR.
- Act as “Super User” for scheduling, registration and billing systems, providing assistance and training to others.
- Offer functional guidance to Office and Practice Assistants.
- Oversee daily activities of practice staff in conjunction with supervisor.
- Accept co‑payments, screen or take messages related to prior authorizations, provider questions, prescription refills, and test results.
Education:
High School Diploma or Equivalent required.
Experience:
3–5 years of office experience.
Knowledge, Skills, and Abilities:
- Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint.
- Understanding of office operations and standards: filing, copying, scanning, printing, faxing.
- Ability to use phone system and manage non‑routine calls, solving routine issues.
- Effective written and verbal communication skills.
- Time‑management and organizational skills, able to multi‑task and follow protocols.
- Proofreading and editing written documents.
