A small, professional corporate office in Newton is seeking an experienced Senior Administrative Assistant to provide high-level administrative support to the President/CEO, COO, Policy Staff, and broader team. This is a highly visible role within a collaborative 7‑person organization where everyone works together and pitches in as needed.
Responsibilities include:- Provide comprehensive administrative support to executive leadership, policy staff, and the broader office team.
- Manage correspondence, reports, records, documents, and other written materials.
- Answer, screen, and direct incoming calls; greet and direct visitors as the primary receptionist.
- Manage daily mail processing, office supplies, and equipment maintenance.
- Maintain organized digital and physical filing systems and support document retention policies.
- Digitize, organize, and maintain inventory of off‑site stored documents.
- Coordinate meetings, appointments, calendars, and occasional travel.
- Prepare meeting agendas, schedules, minutes, and follow‑up materials for Board and Committee meetings.
- Assist with staff, Board, Committee, special, and annual member meeting coordination.
- Maintain and update corporate policy and administrative manuals.
- Respond to member requests, administrative inquiries, and routine office needs.
- Maintain petty cash and expense tracking systems.
- Attend occasional off‑site meetings and conferences throughout Greater Boston, New England, or other locations as required.
- Minimum of 5 years of senior‑level administrative support experience.
- Associate degree or completion of business/secretarial school preferred.
- Strong Microsoft Office skills, including Word, Excel, Outlook, and PowerPoint.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to work independently, manage multiple priorities, and adapt in a fast‑paced environment.
- Comfortable working in a small office where teamwork and flexibility are essential.
- Ability to type at least 60–70 words per minute.
- Familiarity with accounting software preferred.
- Experience with web conferencing platforms such as Zoom or Webex.
- Knowledge of insurance, credit unions, or financial institutions is a plus.
- Reliable transportation required for occasional off‑site meetings.
