Position Summary

The Center for Crisis Response and Behavioral Health (CRBH) at William James College is seeking a full-time Program Manager to provide administrative and project support to the Center Director and Associate Director. The Program Manager will serve as point of contact for operational and administrative matters, internal and external constituencies; participate in the management and completion of special projects and plan events;

maintain current knowledge of appropriate college and academic policies, processes, and procedures. The Program Manager will report to the Center Director for Crisis Response and Behavioral Health.

Essential Functions

Administrative Responsibilities

  • Provides administrative support for the Center for Crisis Response and Behavioral Health team
  • Manage internal and external meetings and events, including coordinating CRBH team member calendars.
  • Serve as the primary point of contact with Marketing & Communications by managing Center listservs in Constant Contact and creating/distributing marketing and communication emails related to Center activities.
  • Coordinate website and promotional material updates by working with web and graphic design staff to maintain Center webpages, training calendars, media content, and marketing materials for trainings and events
  • Communicates with WJC facilities team to book rooms for training onsite at William James College
  • Coordinates with office manager to order supplies and place food orders for training onsite at William James College
  • Coordinates with IT for A/V needs for trainings onsite at William James College
  • Serve as the primary liaison to the Counseling and Behavioral Health Department by coordinating meetings with the Department Chair through the Program Coordinator and submitting reimbursement requests for processing.
  • Manages Center Teams account and organizes all Center materials

Continuing Education Management

  • Primary point of contact for the CRBH Continuing Education program
  • Manages the process of CRBH continuing education events
  • Works closely with all event attendees and continuing education staff to ensure post-event evaluations and certificates are sent to attendees
  • Coordinates and manages the bimonthly Co-Response Webinar series on Zoom and assists presenters

Fiscal & Grant Management

  • Manage fiscal activities for the Center and maintains budget documentation process for DMH grants (excluding salaries)
  • Maintains all CRBH receipts and tracks expenses and spending activities
  • Assists in creating and submitting the quarterly grant reports for DMH, both budget reports and narrative reports
  • Manages reimbursement requests for the CRBH team
  • Manage scheduling and honorarium requests for guest speakers, instructors, etc.
  • Inputs all Center activities, classes, and events into the DMH online database; and submits the quarterly narrative report through the DMH database

Event Planning

  • Coordinate and support the Law Enforcement and Autism Co-Response Collaboration program by partnering with the Doug Flutie Jr. Foundation for Autism to manage event planning, registration, agenda development, participant…
