Registrar Position

Sussex County Community College is currently recruiting for a Registrar. This director level provides strategic leadership in the planning, organization, and management of all functions within the Registrar's Office. Supervises operations to ensure the accuracy, security, and integrity of student academic records while maintaining compliance with institutional policies and applicable regulations. This in person position will report directly to the Senior Vice President, Academic and Student Affairs.

Key Responsibilities:
  • Complies with the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations to ensure the integrity of student academic records.
  • Implements and monitors registration systems and processes that facilitate student enrollment, meet area and national professional and legal standards and maintain the integrity of academic systems.
  • Enforces academic policies and participates in the Academic Standards and Curriculum committees with regard to the impact of curricular changes.
  • In conjunction with the Division of Academic Affairs, coordinates registration policies, procedures and practices, including Dean's List, Probation, and curriculum changes.
  • Provides support to the Office of Institutional Research to review enrollment data to ensure validity.
  • Participates on the Strategic Enrollment Group to help coordinate recruitment, admissions, counseling, retention, marketing and academic efforts to promote a stable enrollment.
  • Oversees all operational activities in the areas of academic records, transcripts, graduation, immunizations, course scheduling, and academic calendar.
  • Prepares, disseminates and maintains historical archives of degree requirement check sheets and course sequences.
  • Certifies graduates upon completion of degree and credit bearing certificate requirements.
  • Provides for a system of records management and archiving which assures the short- and long-term availability of student data.
  • Implements, coordinates and/or monitors computer-based systems necessary to the function of a Registration Office and the provision of automated student services to the institution.
  • Builds and maintains tables for all course requisites and assures the integrity of system application and creates, maintains, and archives all electronic catalogs.
  • Selects, recommends for hire, trains and supervises staff appropriate to the proper functioning of a registration and automated student information systems department.
  • Monitors, coordinates and/or complies with all state and federal legislation or reporting structures as appropriate and as assigned to the Registration Office.
  • Oversees the development and implementation of unit plans and outcome assessment for the assigned department.
  • Represents the College Registrar to both internal and external constituencies. Including marketing and online. May be required to independently travel to various state-level meetings as needed.
  • Serves on various committees, task forces, etc as needed and as determined by administration.
  • Performs other duties as assigned.
Minimum

Qualifications and Skills:
  • Bachelor's degree from an accredited college.
  • A minimum of Three (3) years experience in registration management and administrative experience at a post-secondary institution
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities in a fast paced environment.
  • Demonstrated ability to work effectively with students from diverse backgrounds and varying levels of academic preparedness.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive student information.
  • Proficiency with Microsoft Office Suite (Word, Excel and Outlook).
  • Ability to work flexible hours, including occasional evenings and weekends, to support enrollment and student success initiatives.
Preferred Qualifications:
  • Experience using a Student Information System (ERP) or degree planning software – Jenzabar One preferred.
