Knowledge, Skills, and Abilities
- High School diploma or equivalent required
- Minimum of three years of successful secretarial experience (five years preferred)
- Strong interpersonal and communication skills
- Demonstrated adaptability, problem-solving abilities, and a willingness to learn new systems
- Proficient in technology and office software; ability to quickly learn new applications
- Professional conduct during and after work hours
- Ability to follow all guidelines in the staff handbook
- Types correspondence, letters, memos, check requests, and forms
- Greets visitors and answers routine telephone inquiries regarding grades, programs, and building procedures
- Takes messages and routes telephone calls appropriately
- Dispenses medication to students
- Assists with coding attendance information in Power School
- Assist with sick or injured students
- Processes and logs all discipline referrals and runs discipline reports as needed
- Processes student work permits for the state
- Assists the attendance assistant when necessary
- Maintains CA-60 student records
- Distributes incoming interoffice mail and notifies staff of deliveries
- Completes mandatory district training annually
Skills and Abilities
Education
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Proficient in Microsoft Office, Google Suite, and school data systems (e.g., Power School)
- Ability to work effectively with students, staff, parents, and the public
- Professional discretion and ability to handle confidential information
- Ability to adapt to changes in technology, procedures, and district priorities
- Consistent and timely attendance is a requirement
- The employee shall remain free of any alcohol or nonprescribed controlled substance in the workplace throughout their employment
- May involve lifting, de-escalation, or personal care depending on student needs
- Involves collaboration with staff, families, and outside agencies
