Purchasing Coordinator
Location:
Must work in person at our Noblesville, IN HQ
Position Overview:
The Purchasing Coordinator is responsible for supporting the procurement process from material request (MR) through purchase order (PO) issuance and fulfillment. This role works closely with Designers, Project Managers, the Purchasing Manager, materials team, and the VP of Procurement to ensure materials are ordered accurately, delivered on time, and properly tracked. The ideal candidate is highly organized, detail-oriented, proactive with follow-up, and comfortable managing multiple priorities in a fast-paced construction environment.
- Process Material Requests (MRs) submitted by Designers and Project Managers
- Create and issue Purchase Orders (POs) accurately and in a timely manner
- Maintain organized and accurate purchasing documentation
- Monitor open purchase orders and proactively track delivery timelines
- Follow up with vendors regarding order status and backorders
- Communicate delays or issues to Project Managers and internal stakeholders
- Work to identify solutions when materials are delayed or unavailable
- Collaborate closely with the VP of Procurement, Purchasing Manager, and materials team
- Ensure alignment between job needs, purchasing timelines, and material availability
- Support continuous communication to keep projects moving forward
- Maintain organized digital records of MRs, POs, confirmations, and invoices
- Assist with reporting on open orders, backorders, and purchasing activity
- Take on additional administrative or purchasing-related tasks as needed
Skills & Qualifications
- Strong organizational skills with exceptional attention to detail
- Experience processing purchase orders or working within procurement workflows
- Ability to manage multiple open orders simultaneously
- Strong follow-up skills and accountability
- Clear communication skills with vendors and internal teams
- Comfortable working with spreadsheets and purchasing systems
- Experience in construction, fabrication, manufacturing, or related industry
- Familiarity with material requests (MRs) and purchase order (PO) processes
- Experience tracking backorders and vendor communication
- Proactive and solution-oriented
- Highly reliable with strong ownership of tasks
- Comfortable working cross-functionally with multiple departments
- Detail-driven with a commitment to accuracy
- Team-oriented with a service mindset
