Role
The Executive Assistant to the PRESIDENT will deliver high-level administrative, operational and strategic support to ensure smooth functioning of the PRESIDENT’s office. The role demands strong organizational and communication skills, sound judgment and the ability to manage complex, confidential matters in a fast-paced real estate environment.
Key responsibilities
1. Executive Support:
Manage and maintain the PRESIDENT’s calendar by scheduling meetings, reviews, site visits, travel and appointments while prioritizing tasks and ensuring timely follow-ups, reminders, and deadline communication. Prepare agendas, minutes and action points for internal and external meetings, and draft, review, and format correspondence, presentations, proposals, and reports.
2. Business Coordination:
Coordinate with Functional / Project / Department heads across Sales, Projects, Finance, Legal, CRM, Marketing, Construction and other functions on behalf of the PRESIDENT to ensure timely updates, progress reports, and action items, while assisting in monitoring project timelines, sales performance and operational KPIs. Additionally, provide research, data collection and analytical support to aid strategic decision-making.
3. Communication & Stakeholder Management:
Act as the primary point of contact between the PRESIDENT and internal and external stakeholders, including investors, HNI client’s government bodies, architects, consultants and vendors, while managing confidential information with discretion and professionalism and ensuring accurate, timely communication flow within the organization.
4. Meeting & Event Coordination:
Organize leadership meetings, review meetings, site visits, board meetings, client interactions and business events, while also coordinating logistics for conferences, exhibitions (such as real estate expos) and investor presentations.
5. Documentation & Compliance Support:
Maintain proper records, contracts, agreements and confidential files.
6. Travel & Logistics Management:
Plan and coordinate domestic and international travel, accommodation, itineraries, and expense management, ensuring seamless travel experiences aligned with business priorities.
7. Special Projects:
Support in managing high-impact strategic initiatives, business development opportunities and new project evaluations, while conducting market research, competitor analysis and feasibility-related tasks as required. Propose best practices to help PRESIDENT to optimize their management functions, ensuring that deliverables align with business goals.
Skills
- Excellent communication, interpersonal and presentation skills.
- Strong organizational, multitasking and time-management abilities.
- Proficiency in MS Office (Excel, PowerPoint, Word), MIS reporting and project tracking tools.
- Ability to work under pressure with high levels of discretion and professionalism.
- Strong analytical and problem-solving abilities.
- Ability to manage diverse stakeholders and maintain executive presence
Qualifications & Experience
Education
- Bachelor’s degree in Business Administration / Management, Real Estate or related field.
Experience
- 5–12 years of experience supporting C-level executives; experience in real estate, infrastructure, architecture or construction industry preferred.
