This means that this position, as with all positions at Kawerak, is subject to availability of funding each year to continue to fund the position.

Job Overview

The Education, Employment, and Supportive Services (EESS) Administrative Support Coordinator serves as a primary point of contact for participants, community members, partners, visitors, staff, and other key stakeholders seeking information or services through the EESS Division. This position provides professional, courteous, and customer service while supporting the coordination, documentation, and delivery of Division programs and services. The Coordinator maintains an active presence and availability to support EESS department operations and supports the Division’s efforts to provide high-quality, coordinated, and non-duplicative services to the people of the Bering Strait region.

Responsibilities
  • Develop and maintain working knowledge of all EESS programs, including applicable rules and regulations, policies and procedures, application processes, eligibility requirements, required documentation, and available participant supports.
  • Serve as a welcoming and professional first point of contact by answering phone calls, responding to general questions and email inquiries, greeting visitors, employees, and participants, and directing individuals to the appropriate staff, program, department, or outside resource.
  • Conduct the initial applicant intake process for most EESS Division services.
    • Providing guidance and assistance to participants throughout the application process.
    • Reviewing applications for completeness, accuracy, and required documentation.
    • Ensuring all necessary forms, records, and supporting information are received and properly documented.
    • Making an initial assessment of potential eligibility for services based on participant needs, goals, and program requirements and refer eligible participants to the appropriate program staff for review, determination, case coordination, and service planning.
    • Assisting with follow-up communication and obtaining additional information from participants as needed.
    • Maintaining accurate data entry, participant records, call logs, referral logs, and assist with 90-day follow-up tracking.
  • Provide administrative, clerical, and operational support to the EESS Leadership Team and Division staff as needed.
    • Preparing, processing, and tracking contracts, invoices, purchase requests, correspondence, forms, and other documents.
    • Coordinating travel arrangements for staff, participants, and partners as assigned.
    • Gathering information, compiling data, and assisting with reports, summaries, and program documentation.
    • Scheduling meetings, preparing agendas and materials, coordinating meeting logistics, attending meetings as assigned, and transcribing or preparing meeting minutes.
    • Performing general office duties, including copying, scanning, filing, faxing, mailing, ordering supplies, maintaining records, and updating the Division calendar.
  • Assist with the coordination, preparation, and implementation of outreach events, career fairs, service fairs, community activities, trainings, and special projects as assigned.
    • Scheduling events, travel, catering, meeting space, and other logistical needs.
    • Preparing supplies, materials, sign‑in sheets, outreach packets, displays, and participant resources.
    • Assisting with event changes, cancellations, or rescheduling as needed.
    • Coordinating outreach and advertisement needs with the Outreach Department or other designated staff.
