Office Administrator/ Coordinator

We aren’t looking for a dispatcher to post a static daily schedule or an IT specialist to sit behind a screen running scripts. We need a Logistics Analyst who can own the “Live Schedule.”

- A Pivot Pro: You don’t get frustrated when a plan changes; you enjoy the challenge of finding a new way to make the schedule work.
- Excel as a Tool, Not a Career: You are highly proficient in Excel and comfortable with software, but you use those skills to solve scheduling puzzles, not to do “IT work.”
- A Natural Communicator: You enjoy the “people” side of logistics—talking to sales reps, warehouse managers, and clients to keep information flowing.
- High-Energy & Organized: You’re comfortable in a fast-paced environment where the “daily plan” is a flexible, living document.
Position Tasks & Responsibilities:
- Reviews, manages and assigns all new event orders added into the system.
- Works with Field Leaders to assign crews to each event job.
- Frequently communicates with clients on job status to ensure expectations are set and met.
- Partners with the operations team to determine the transportation equipment needed.
- Creates truck route itineraries that are forwarded to drivers.
- Communicate with field, warehouse and sales team members on a daily basis.
- Positive team player.
- Intermediate to advanced Microsoft Excel experience.
- Proactive and willing to do what it takes to get the job done.
- Excellent time management and organizational skills.
- Excellent customer service and communication skills, oral and written.
- Ability to be flexible in a fast moving, change orientated dynamic role.
- Attention to details and problem-solving skills.
- Trouble-shooting and analytical skills.
Work environment:
- Works mostly in indoor environments.
- Works in close proximity to other people, such as when sharing or entering office space.
- May be exposed to loud or distracting sounds or noise levels.
- Hours worked/scheduled generally more than 40 hours per week; additional hours may be required or scheduled as needed.
- Work may be across seven (7) days a week based on event; on-call availability may also be required when events are booked at a moment’s notice.
Educational, Technical and Computer
Skills:
- Microsoft Teams, Outlook as part of performing daily duties.
- Intermediate to advanced Excel knowledge and experience.
Requirements:
- Delivery or routing experience.
- Microsoft Excel knowledge.
- Technical ability; experience with computers and software knowledge.
- Daily scheduling and assigning crews to projects/deliveries.
Preferred Experience:
- Working understanding of DOT regulations.
- Point of Rental software experience is a plus.
- Bi-lingual/ability to speak Spanish.
- Must be able to lift approximately 20-40 lbs. consistently.
- Works in close proximity to people, such as in sharing office space.
- May be exposed to loud or distracting sounds or noise levels.
