, which manages all purchasing activities and coordinates closely with department heads, manufacturing, receiving, and accounting.
The Operations Coordinator is responsible for preparing and distributing purchase orders, managing vendor relationships, tracking shipments, and ensuring accuracy in order fulfillment. This role is critical in maintaining the efficiency and integrity of our purchasing process and requires a detail-oriented and proactive professional with strong communication skills.
Key Responsibilities- Prepare and distribute purchase orders across multiple departments
- Maintain strong, professional relationships with suppliers and vendors
- Track and monitor purchases from initial order to final delivery
- Confirm pricing, availability, and product specifications with suppliers
- Schedule and coordinate deliveries to align with project timelines and installation schedules
Cross-reference shipments with purchase orders to ensure accuracy - Maintain purchasing records, price lists, and order confirmations (acknowledgements)
- Resolve delivery issues, shortages, or damaged goods with vendors and department managers
- Support accounting with invoice processing and payment follow-up
- Enforce company purchasing policies and procedures
- Attend weekly operations meetings and contribute to ongoing process improvements
- Respond to inquiries from suppliers and internal team members regarding order status or changes
- Report and follow up on all non-conforming products to ensure resolution
- High School Diploma or GED required;
Associate’s Degree or higher preferred - Minimum 2 years of experience in Purchasing, Procurement, or Operations
- Strong verbal and written communication skills are essential
- Proven ability to multitask and prioritize in a fast-paced environment
- Negotiation skills and supplier management experience preferred
- Proficiency with Quick Books and Microsoft Excel is a plus
- Detail-oriented with excellent organizational and administrative abilities
