Safety Administrative Assistant

The Hampton Roads Connector Partners JV (HRCP) consisting of VINCI Construction, Dragados, and Flatiron has been selected to construct the $3.3BN Design Build project –the largest civil construction contract ever awarded by the Virginia Department of Transportation (VDOT).
The project scope across a 9-mile section of the I-64 will include: a new 3.5-mile bridge-tunnel crossing that will accommodate a total of 8 lanes of capacity across the water, replacement of the existing marine approach bridges and the addition of a third lane on I-64 in each direction. The twin 45 diameter 1.5-mile tunnels will be bored by TBM, creating the second largest TBM tunnel opening for a TBM in North America.
Responsibilities:
• Interface with project executives, assistants, and other internal/external professionals
• Coordinate, prepare, and reconcile expenses with accounting department, as needed
• Perform administrative duties to include:
Compiling documentation; organize files; typing letters, memorandums and correspondence; maintenance of project files, meeting minutes, and providing administrative organization to the assigned department
• Developing project presentations for meetings in Power Point
• Organize, prioritize, and summarize the content on incoming mail, calls, special requests, and meetings
• Sort and distribute mail and other correspondence
• Track material deliveries and invoices
• Order office supplies as needed
• Other duties as needed and assigned to support project operations
Qualifications:
Required
• High school diploma or GED from accredited institution
• Minimum 3 years’ administrative assistant experience in an office environment
Preferred
• Experience working for a General Contractor or subcontractor is preferred
• Experience supporting a safety-oriented team, such as in construction
• Strong pc and data entry skills
• Demonstrated proficiency in:
Word, Excel, and Power Point
• Strong customer service skills
• Strong organizational skills and very detailed-oriented
• Proactive and solution oriented
• Must demonstrate exceptional judgment, discretion, and professional courtesy
• Effective oral and written communication skills and excellent interpersonal skills
