Overview
The Department of Family and Community Medicine is seeking a Department Administrator I. This position is directly responsible for the management and administration of daily clinical, business, and day-to-day operation activities for the Department Family Medicine, maintains primary responsibility related to clinical workflow optimization, practice management, and day-to-day ambulatory operations, and works with Chair & Administrator II on clinical, business and strategic planning to include new business Development initiatives.
ResponsibilitiesOperational Responsibilities
- Management and oversight of all daily, clinical and business functions of the department to include evaluating office procedures and devising ways to improve efficiency of workflow and productivity
- Ensure development and implementation of policies and procedures governing aspects of departmental administration and IT
- Provide contract management support for the department
- Monitor clinical productivity and billing; track monthly statistics and investigate anomalies
- Meet regularly with Administrator II to keep up to date on issues within the department
- Meet regularly with division directors and practice managers to review clinical and program issues related to their division
- Work cohesively with Administrator II, practice managers,and division directors on problem identification and resolution with respect to the systems, processes, procedures, staffing,and any other related function as needed
- Assist in faculty recruitment and appointment
- Perform other operational duties as assigned
Personnel Responsibilities
- Supervise departmental administrative and IT staff
- Determine, in conjunction with the Administrator II and respective division directors and practice managers, support staff requirements for the practice(s)
- In conjunction with Administrator II, review and approve all matters relating to departmental human resources (recruit ment, transfers, promot ions, terminations, etc.)
- Administer the recruitment, selection, assignment, and training of administrative and IT support staff
- Maintain TAS System and employee personnel files
- Evaluate all personnel for whom there is a direct responsibility
- Monitor adherence to standards set in dress, conduct, attitude, and performance and corrects deviations
- Perform other personnel duties as assigned
Financial Responsibilities
- Works with Administrator II on budget monitoring and operational drivers of performance
- Under the direction of the Administrator II, coordinate/facilitate department staff compensation
- Works with Administrator II and EVMS/EVMSMG in the review of leases, contracts, facilities maintenance activities, equipment procurement and related endeavors
- Responsible for department al procurement activity to include oversight/management of school issued credit card use and One Source procurement system use
- Oversee petty cash system if needed
- Perform other financial duties as assigned
Minimum
Qualifications and Skills:
- Bachelor's degree in related field required
Preferred Qualifications:
- 4 years of progressively more responsible positions with experience including ambulatory/clinical leadership
