Purpose:
Colonna’s Shipyard is seeking an Accounts Payable Clerk in Norfolk, VA.
Job DescriptionThe Accounts Payable Clerk is responsible for providing financial, administrative, and clerical services. Responsibilities include processing and monitoring payments and expenditure and performing the day‑to‑day processing of accounts payable transactions to ensure that the Company’s finances are maintained in an effective, up‑to‑date and accurate manner.
- Invoice Processing & Data Entry:
Group, verify, and accurately enter a high volume of invoices into the Deltek CostPoint system; match invoices with purchase orders and receipts. - Communication & Coordination:
Address vendor inquiries regarding payment status and procedures; resolve discrepancies and reconcile supplier statements. - Administrative Support:
Perform general clerical duties (filing, photocopying, faxing, mailing); create and maintain office documents and files; answer mail and phone inquiries. - Record‑Keeping & Filing:
Organize and maintain physical filing systems for all AP documents. - Compliance & Safety:
Maintain a safe and secure work environment; ensure reliable attendance and the ability to work independently with attention to detail. - Clerical Knowledge:
Demonstrate knowledge of clerical procedures and proficiency in high‑volume data entry.
- Must have a HS Diploma or equivalent and at least 3 years of experience in Accounts Payable.
- Must be proficient in the use of Personal Computers (PCs) and word processing and data entry software, with a focus on Excel.
- Must have outstanding organizational skills (time management, follow‑up and multi‑tasking).
- Must have strong written and verbal communication skills.
- Must have general knowledge of accounting principles.
- Must have experience with purchase orders.
- Experience working with Deltek Costpoint is preferred but not required.
- Minimal Travel; 10% or less.
- Remaining in a stationary position, often standing, or sitting for prolonged periods.
- Able to sit and work on a computer for long periods of time.
- Moving around to accomplish tasks or moving from one worksite to another.
- Communicating with others to exchange information.
- Light work that includes moving objects up to 20 pounds.
