Key Responsibilities
- Event Coordination: coordinate team meetings, workshops, offsites, and internal initiatives from planning through execution; support visitor requests in accordance with established security procedures; prepare meeting agendas, briefing materials, and presentations for internal and external stakeholders.
- Operational and Administrative Support: order and maintain supplies for operations colleagues; maintain documents, trackers, and reporting tools with high accuracy; maintain and manage systems such as SharePoint, Team sites, and organizational documentation; handle ingoing and outgoing mail to vessels; provide administrative support for vessel reflags and ongoing vessel projects, as needed; coordinate with other administrative team members to provide cross‑functional and backup support, which includes but is not limited to vendor management, office coordination, facility support, etc.;
support ad‑hoc projects and special initiatives; ensure compliance with established corporate standards; support commitment to safety and other selected company standards and certifications; perform other position‑related duties as specified by management.
Education and Experience:
High School diploma and a minimum of three years administrative assistant experience required.
Technical Skills and Competencies
Required:
strong organizational skills with the ability to manage multiple priorities in a fast‑paced environment; proficiency in Microsoft Office tools, particularly Outlook, Excel, PowerPoint, Word, SharePoint, and Teams; excellent communication and interpersonal skills; ability to work independently while collaborating effectively across teams; comfortable adapting to changing priorities and shifting demands; proactive, solution‑oriented, and highly dependable; flexible in providing office support across the organization to meet business needs.
