General Responsibilities

This position is responsible for assisting the School’s Administrators with routine and complex supervisory and administrative tasks, including complex bookkeeping and clerical work, and extensive financial management responsibilities. This position is also responsible for handling personnel documents, including student and staff records that require strict confidentiality. Advanced computer knowledge and writing skills are required.

Education and Experience

Associate’s Degree and two (2) years of directly related experience as a supervisor or office manager. Requires experience managing the school’s budget. Minimum of two (2) years of customer service experience, or an equivalent combination of education and experience.

Essential Job Functions

  • Process school financial records, reconcile complex financial management programs, collect and receipting for monies, prepare checks for payments, post receipts and disbursements to accounts, reconcile bank statements, and prepare monthly financial statements.
  • Process and maintain records of staff absences/leave requests.
  • Check in substitute teachers, issue keys, advise of lesson plans and schedules.
  • Assist administrators in arranging classroom coverage if substitute teachers are not present.
  • Process, verify and maintain payroll records for part-time personnel.
  • Calculate and prepare financial and statistical reports for administrators.
  • Coordinate the work of clerical, secretarial, and administrative support personnel.
  • Oversee secretarial duties for school administrators.
  • Manage the school office, coordinating school-wide clerical activities.
  • Review all outgoing correspondence for formatting, spelling, punctuation, and grammar prior to submission for signature.
  • Supervise clerical staff, assign duties and review completed work for accuracy and completeness.
  • Assist the principal with daily correspondence, including maintaining the principal’s calendar, coordinating meetings and conferences, scheduling dates, times, and locations, notifying attendees.
  • Schedule conference registrations as necessary, including travel and hotel arrangements.
  • Screen telephone calls for the principal and handle regular mail.
  • Ensure that school maintains student information in line with local, state, federal laws, codes, policies, guidelines, and rules.
  • Attend meetings and conferences when needed.
  • Research and develop material for official school functions; maintain control records on incoming correspondence and action documents, follow up on work in progress to ensure timely response or action.
  • Administer medication to sick students in the absence of the school nurse, dispense medication, and maintain medication log.
  • Perform related work as required or assigned.

Salary: $22.11 to $35.45 Per Hour
