Administrative Assistant

This position is responsible for assisting The Governor's School for the Arts (GSA) administrators and office manager with routine and complex administrative tasks; to include maintaining student records. Under supervision of the office manager, this position is also responsible for knowledge of school routines and procedures; knowledge in multiple complex computer programs; preparing and maintaining computerized records for students; and requires strict confidentiality.

This position is responsible for attendance, scheduling, grades, and paperwork associated with the audition process. Also requires advanced computer knowledge and writing skills.

Graduation from high school, including or supplemented by various courses in business, typing, and data processing and at least 2 years of responsible office clerical experience, preferably in a school; or any equivalent combination of education and experience that would provide the above noted knowledge, skill, and ability.

Responsible for registering students, processing withdrawals, sending/receiving transcripts, loading the schedule and maintaining student records, including communicating grade reports to stakeholders.

Performs attendance and student accounting tasks.

Performs full range of intermediate clerical tasks as assigned by school office manager to support school administration, teachers and general school operations.

Files a variety of documents according to established procedures.

Responsible for processing and maintaining records of student forms and cumulative files.

Production and management of student identification badges and email addresses.

General knowledge of office practices, procedures and equipment; general knowledge of school system routines and procedures; general knowledge of business English, spelling and office terminology.

Ability to work under pressure and still meet deadlines with frequent interruptions.

Thorough knowledge of or ability to quickly learn procedures of the office or task to which assigned.

Ability to operate personal computers, and data terminals, and to complete routine memos and letters from general instructions.

Ability to prepare and maintain computerized records and programs; handle all student data reporting needs.

Ability to operate a variety of standard office equipment.

Ability to communicate clearly and concisely, both orally and in writing.

Ability to operate in both Microsoft and Google.

Ability to deal with students, families and the public, tactfully and courteously; ability to establish and maintain effective working relationships with others.

Good organizational skills, communication skills, and customer service.

Serves as backup to other clerical staff as required or assigned.

Maintain student information in line with local, state, federal laws, codes, policies, guidelines and rules.
