The Executive Operations Coordinator is a full-time, on-site role based in Norfolk, VA, responsible for providing high-level operational and administrative support to executive leadership. This position manages calendars, schedules meetings, prepares agendas, and coordinates travel and logistics to ensure efficient executive operations. The Coordinator supports day-to-day office workflows, assists with project tracking, maintains documentation, and helps streamline processes across teams. This role serves as a central point of contact for internal and external stakeholders, handling correspondence, answering inquiries, and ensuring a professional and responsive experience.
The Executive Operations Coordinator also assists in preparing reports, presentations, and meeting materials, while proactively identifying opportunities to improve operational efficiency.
- Strong Analytical Skills to interpret data, support decision-making, and track operational metrics.
- Excellent Communication abilities, including clear written and verbal communication and professional interaction with stakeholders at all levels.
- Experience in Operations Management to support executive workflows, coordinate cross-functional activities, and improve organizational processes.
- Customer Service mindset to provide responsive, solutions-focused support to internal teams and external partners.
- Proven Administrative Assistance experience, including calendar management, meeting coordination, document preparation, and record keeping.
- Proficiency with office productivity tools (e.g., Microsoft Office Suite, collaboration platforms) and comfort learning new systems.
- Strong organizational skills, attention to detail, and ability to prioritize multiple tasks in a fast-paced environment.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Bachelor’s degree in Business, Management, Communications, or a related field.
- Prior experience supporting executives or working in consulting, healthcare, or government contracting environments is a plus.
