Position: Contract – Private Client Accounting, Team Admin

Private Client Accounting Administrator Position Overview

Our client is seeking a detail-oriented and dependable Private Client Accounting professional to provide essential administrative and accounting support to a private client services team. This role is designed to create greater capacity for the broader team by taking ownership of recurring administrative, documentation, and accounting responsibilities.

The ideal candidate is highly organized, consistent, discreet, and comfortable working with confidential financial information. This is a hands‑on, administrative‑heavy position that requires strong attention to detail, reliable follow‑through, and a willingness to take ownership of routine but important tasks.

This position is fully onsite and is well suited for candidates with backgrounds in bookkeeping, accounts payable, entry‑level accounting, or other detail‑intensive administrative roles. Recent college graduates with limited or no professional experience are also encouraged to apply.

Key Responsibilities
  • Mail and PO Box Management: Monitor the client’s PO Box and incoming mail, organize correspondence, and distribute documents to the appropriate team members.
  • Document Management: Scan, file, organize, and maintain financial and client documentation in accordance with established procedures.
  • Bank Reconciliations: Complete approximately 180 bank reconciliations per month with a high degree of accuracy and consistency.
  • Statement Retrieval: Retrieve bank, investment, and other financial statements as needed and ensure documentation is properly organized and accessible.
  • Tax Organization Monitoring: Monitor the status of tax-related documents and organizational activities, identify outstanding items, and provide regular status updates to the team.
  • Administrative Support: Take ownership of recurring administrative and accounting tasks to reduce the team’s workload and create greater capacity for higher‑level client responsibilities.
  • Confidentiality: Handle sensitive financial and personal information with professionalism, discretion, and strict confidentiality.
  • Process Consistency: Follow established procedures and maintain accurate records while ensuring recurring responsibilities are completed on schedule.
  • Team Support: Communicate proactively with team members regarding outstanding items, discrepancies, deadlines, and other matters requiring attention.
Environment & Work Schedule

This is a fully onsite position with a standard schedule of 8:30 AM to 4:30 PM
, with some flexibility around start and end times. Occasional overtime may be required based on business needs, but regular overtime is not expected.

The role is part of a collaborative private client services environment where reliability, trust, professionalism, and cultural fit are highly valued. The successful candidate will become an important operational resource for the team by ensuring essential administrative and accounting responsibilities are handled accurately and consistently.
