We currently have an exciting opportunity in our Contracts department. This position specifically is located in Norfolk, Virginia. We are looking for a Contracts Assistant, the hours are 7am-4pm, Monday-Friday.

PURPOSE AND FUNCTIONS

The Contracts Assistant provides administrative, data entry, analysis, and coordination to support the Contracts department. Prepares, enters, validates, and maintains contract-related data and documentation supporting proposals, Requests for Contract Changes (RCCs), modifications, purchase orders, and other department activities. Supports accurate and timely contract administration through organized recordkeeping, reporting, and coordination with internal departments.

KNOWLEDGE, SKILLS & ABILITIES
  • Knowledge
    • Knowledge of general administration and documentation processes
    • Knowledge of basic business, financial, and data analysis principles
    • Knowledge of basic pricing elements, including labor rates, overtime, material costs, subcontractor costs, and applicable fees
    • Knowledge of standard office and records-management practices
  • Skills
    • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook
    • Skill in entering, reviewing, analyzing, and validating numerical data
    • Skill in preparing and maintaining spreadsheets, reports, presentations, and supporting documentation
    • Strong written and verbal communication skills
    • Strong organizational and time management skills
    • Skill in maintaining accurate electronic records, databases, logs, and tracking systems
  • Abilities
    • Ability to manage multiple assignments and priorities while meeting established deadlines
    • Ability to perform detailed work accurately and consistently
    • Ability to identify numerical and spreadsheet discrepancies and resolve or elevate issues appropriately
    • Ability to work independently within established procedures with appropriate supervision
    • Ability to collaborate effectively with Contracts personnel and other internal departments
    • Ability to exercise sound judgment when handling routine contract-related information and documentation
    • Ability to maintain confidentiality and appropriately handle sensitive business, pricing, and contract information
EDUCATION, EXPERIENCE & CERTIFICATIONS
  • Education
    • Associate degree in Business Administration, Accounting, Finance, Contracts Management, or related field, or an equivalent combination of education and directly experience
  • Experience
    • Two years of directly related administrative, contracts, financial, estimating, or data-support experience
