The Preconstruction Coordinator provides administrative, technical, and organizational support to the Preconstruction Department throughout the project pursuit, estimating, budgeting, and proposal development process. This position plays a critical role in coordinating bid activities, managing project documentation, facilitating communication between internal teams and external stakeholders, and ensuring that preconstruction deliverables are completed accurately and on schedule.
The ideal candidate is highly organized, detail-oriented, capable of managing multiple deadlines simultaneously, and possesses strong communication and document management skills. The Preconstruction Coordinator works closely with estimators, preconstruction managers, project executives, subcontractors, suppliers, architects, engineers, and clients to support successful project acquisition efforts.
Essential Duties and Responsibilities- Coordinate project opportunities from initial lead identification through proposal submission.
- Maintain bid calendars and track upcoming bid opportunities and deadlines.
- Review and distribute invitations to bid (ITBs), requests for proposals (RFPs), requests for qualifications (RFQs), and other procurement documents.
- Assist with project pursuit planning and coordination meetings.
- Monitor bid portals and procurement websites for project updates and addenda.
- Prepare bid announcements and distribute project information to internal teams.
- Maintain pursuit logs, opportunity tracking reports, and CRM systems.
- Organize and maintain digital project files, drawings, specifications, addenda, and related preconstruction documents.
- Ensure project documentation is current, complete, and accurately distributed.
- Track revisions to plans, specifications, and bid documents.
- Manage electronic filing systems and document management platforms.
- Coordinate document sharing among estimators, subcontractors, vendors, and consultants.
- Maintain historical cost databases and project records.
- Develop and maintain relationships with subcontractors and suppliers.
- Solicit subcontractor and supplier pricing and proposals.
- Track subcontractor participation and bid coverage.
- Maintain subcontractor qualification records and contact databases.
- Assist with subcontractor outreach programs and prequalification efforts.
- Coordinate distribution of bid documents and addenda to bidding trade partners.
- Assist estimators with quantity takeoffs, bid tabulations, and scope reviews as needed.
- Compile and organize subcontractor and vendor quotations.
- Assist with budget development and cost data collection.
- Prepare bid comparison spreadsheets and procurement tracking logs.
- Maintain cost history databases and benchmark information.
- Support estimate review meetings and value engineering exercises.
- Coordinate preparation of proposals, qualifications packages, presentations, and interview materials.
- Gather project experience, resumes, safety statistics, references, and company qualifications for proposal submissions.
- Format, edit, and proofread proposals for consistency and professionalism.
- Ensure compliance with owner and procurement requirements.
- Coordinate printing, binding, and electronic submission of proposal packages.
- Track proposal outcomes and maintain pursuit statistics.
- Serve as a point of contact for project inquiries during the preconstruction phase.
- Coordinate meetings, agendas, and meeting minutes.
- Assist in preparing reports, presentations, and executive summaries.
- Facilitate communication between estimating, operations, business development, and executive teams.
- Maintain positive relationships with clients, consultants, and trade partners.
- Generate reports related to project pursuits, win rates, subcontractor participation, and estimating activities.
