The Business Operations Coordinator provides comprehensive administrative, financial, and operational support for Wharton's Legal Studies department. The position coordinates a variety of programs, projects, events, and academic activities; processes and monitors financial transactions; prepares reports and maintains operational records; and supports budget administration. The role also serves as a key resource for faculty, students, visitors, and other stakeholders, while supporting departmental processes and initiatives that promote efficient and effective operations.
Job DescriptionJob Responsibilities
- Coordinate departmental financial and business transactions, including travel reimbursements, purchase orders, vendor payments, journal entries, budget reallocations, and related financial activities, ensuring accuracy and compliance with University and Wharton policies.
- Provide comprehensive administrative and operational support for departmental meetings, seminars, conferences, workshops, and academic activities, including scheduling, travel arrangements, event logistics, communications, and maintenance of departmental calendars and records.
- Support academic programs, faculty, and students by coordinating course administration, instructional resources, faculty onboarding, and academic processes across undergraduate, MBA, and doctoral programs.
- Develop and maintain financial and operational reports, databases, and records, including monthly account reporting, and assist with budget administration, forecasting, fiscal year-end activities, and other financial reviews.
- Serve as a key departmental resource for faculty, students, visitors, academic advisors, and University partners, resolving routine issues, coordinating special projects, maintaining departmental web content, and identifying opportunities to improve administrative processes and service delivery.
