Position: Staff Assistant (HQ Staff Training Coordinator)

ACT contributes to preserving the peace, security and territorial integrity of Alliance member states by leading, at Strategic Command level, Warfare Development required to enhance NATO’s posture, military structures, forces, capabilities and doctrines.

Resources and Management (RM) Directorate

The Resources and Management (RM) Directorate acts on behalf of SACT on all internal management and resource‑related issues. It monitors the coherency of ACT plans to ensure that ACT remains an effective and efficient organization and improves continuously.

Human Resources Management Branch

The Human Resources Management Branch is responsible for maintaining ACT's Peacetime Establishments (PE) on behalf of SACT as PE Authority; providing administrative and personnel customer service to all NATO and Partner Nations; and performing human resource management and recruitment functions with respect to HQ SACT and JALLC civilian staff. The Branch is comprised of three sections:
Workforce, Military Personnel and Civilian Personnel.

Staff Assistant (HQ Staff Training Coordinator)

The Staff Assistant (HQ Staff Training Coordinator) will coordinate the Headquarters’ Staff Training Program encompassing both internal and external training opportunities.

Principal Duties
  • Coordinates, in collaboration with, IKM Section classroom training for HQ SACT staff members in headquarters‑specific CIS applications such as but not limited to Tasker Tracker, EDMS and SHAREPOINT;
  • Manages the Staff Training Information Portals to inform the staff of current and future training events and courses;
  • Primary Point of responsibility for Staff Training events, which provide HQ Staff informative, relevant briefings on subjects which have direct impact on current and future NATO programmes;
  • Develops advertising, both print and electronic for all Training events ensuring the widest dissemination;
  • Serve as primary Point of Contact for obtaining commercially delivered training for courses which have an effect across the headquarters.
  • Research, in conjunction with HQ subject matter experts, improved training courses to develop new training opportunities based on identified training needs;
  • Serves as a member of the HQ IKM Board to convey HQ SACT requirements for changes and updates for the aforementioned software to the agencies developing the applications;
  • Responsible for monitoring the input by staff members populating the trainingd module of the APMS database;
  • Stays current on the functions, tools, utilities and business rules of the applications’ developments in order to ensure most current and complete training is made available;
  • Serves as Fund Manager for the Staff Training budget lines;
  • Manages HQ Training facilities to include scheduling, proper operation and capability upgrades;
  • Provides input to Annual Training Report and the Annual Training Plan;
  • Liaises with NATO Education and Training Facilities (NETF) by attending the annual Scheduler’s Workshops at NATO School and NCI Academy in order to ensure the greatest dissemination of training opportunities to staff personnel and to remain current on procedures;
  • Liaise with Training Coordinators of NATO Commands, Partner nations and other entities to share best practices and investigate NATO‑wide training opportunities for the benefit of staff personnel.
Essential Qualifications / Experience
  • Higher Secondary education and completed higher vocational training leading to a formal technical or professional certification with 3 years function related experience, or Secondary education and completed advanced vocational training leading to a professional qualification or professional accreditation with 5 years post related experience.
  • Minimum 3 years of experience in planning, executing and coordinating staff training programmes within a large, complex organisation, including the management of training events, course schedules, training portals, and liaison with internal and external training providers.
