Basic Job Description
The Executive Assistant provides high-level administrative and strategic support to senior executives. Requiring a high attention to detail, this role requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs in a fast-paced environment. The Executive Assistant acts as a trusted partner, ensuring executives can focus on organizational priorities and decision-making. This role will work closely with multiple teams across the organization.
DescriptionThis full-time position will work from the Corporate Office (M-F, 8:00a-5:00p) and as business needs demand.
Essential Duties And Responsibilities- Provides high-level administrative support and assistance to Executive Leadership Team.
- Prepares agendas, presentations, reports, and briefing materials for meetings.
- Attend meetings as requested, take accurate minutes and track action items.
- Screen calls, emails, and correspondence, prioritizing matters requiring executive attention.
- Coordinate logistics for meetings, events, and off-site activities.
- Draft, edit, and proofread correspondence on behalf of leadership.
- Arrange travel and accommodation as needed for leadership.
- Manage CEO’s calendar and arrange meeting setup.
- Handle confidential and sensitive information with the highest level of discretion.
- Handle expense reports for CEO.
- Schedule training/group meetings in the building as requested, sending meeting invitations to attendees.
- Other duties assigned by the leadership team.
- High school diploma required, bachelor’s degree preferred.
- Bachelor’s degree in business administration or equivalent education and experience.
- 5+ years of experience supporting senior leadership or executives.
- Advanced proficiency in Microsoft Office, including Teams, Outlook, Word, PowerPoint and Excel.
- Excellent verbal and writing communication skills.
- Excellent organizational skills and attention to detail.
- Proven ability to manage time effectively to produce results.
- Operates with flexibility and adaptability, communicating with decision-makers for guidance.
- Ability to interpret ongoing problems and suggest possible solutions.
- Ability to multi-task and meet deadlines.
- Ability to receive direction and constructive feedback and put such direction into action.
- High school diploma or equivalent required, bachelor’s degree preferred.
- Proficient in Microsoft Office, including Teams, Word and Excel. Smartsheet is helpful.
- 3+ years as an Executive Assistant or in a similar role.
- Tech savvy with the ability to learn new software.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Exercise integrity and confidentiality.
- Operates with flexibility and adaptability, communicating with decision-makers for guidance.
- Ability to receive direction and constructive feedback and put such direction into action.
- Ability to multi-task, interpreting on-going problems and suggesting possible solutions.
