Schedule: Monday – Friday, 8:00 AM – 5:00 PM (Hours may vary based on workload; occasional weekends or extended workdays may be required)

The Cavins Group is seeking a highly organized and proactive Executive Assistant Project Coordinator to support our construction management operations. This role is a dual-function position that blends high-level administrative support with field-based project coordination. The ideal candidate will be essential in keeping our projects on track, documentation accurate, and field teams efficient.

• Manage and generate critical project documentation, including RFIs (Requests for Information), bid proposals, and mapping documentation.
• Assist in the preparation and finalization of testing reports and project closeout documents.
• Maintain organized digital and physical records for ongoing jobs.

• Coordinate travel logistics, client meetings, and onsite scheduling.
• Serve as a primary point of contact for customer inquiries and supervisor communications.
• Ensure all stakeholders are informed of project timelines and site status updates.

• Conduct job site visits to perform safety and quality control inspections.
• Assist with coordinating and setting up necessary staff training.
• Travel to regional sites, including our Kansas location and other satellite offices, to oversee operational needs, which may occasionally require longer working days.

• Experience:
  
  Proven experience in Construction Project Engineering or Construction Project Coordination is highly .
• Skills:
  
  A strong administrative background is essential. You must be comfortable managing multiple priorities, drafting professional correspondence, and maintaining detailed records.
• Flexibility:
  This position requires a flexible schedule. While standard hours are 8-5, M-F, you must be available for occasional weekend work and varying hours depending on project demands. (40 to 60 hrs a week as needed)
• Professionalism:
  Excellent communication skills, the ability to work independently, and a commitment to maintaining site safety and quality standards.
