Pay Range:Targeted salary of $12.00/hour, based on education and experience.

Position Introduction:

The Administrative & Client Services Assistant supports the administrative team at The Virtue Center and helps create a welcoming, professional, and supportive environment for clients, visitors, and staff. The Virtue Center provides help and hope to individuals and families facing challenges through compassionate, trauma-informed, and community-centered care.

This position provides students with experience in nonprofit administration, customer service, office operations, and community-based behavioral health services.

Duties and Responsibilities:

  • Greet clients, visitors, and community members in a friendly and professional manner.
  • Assist with front desk and receptionist duties, including answering and directing phone calls.
  • Assist with scheduling appointments and providing appointment reminders.
  • Assist clients with completing intake paperwork and other administrative forms as directed.
  • Perform general clerical duties, including filing, scanning, copying, data entry, and document organization.
  • Assist with organizing and maintaining client files and administrative records.
  • Help keep the reception and waiting areas clean, organized, stocked, and welcoming.
  • Restock informational materials, forms, and office supplies as needed.
  • Assist with inventory organization and communicate supply needs to staff.
  • Assist with updating lobby materials, informational displays, and other media.
  • Provide administrative support for special projects, programs, and community events.
  • Assist staff with event preparation and coordination as needed.
  • Maintain confidentiality of client and organizational information.
  • Follow The Virtue Center's policies and procedures regarding confidentiality and professional conduct.
  • Complete additional administrative duties and special projects as assigned.

Required

Education and Experience:

Must be currently enrolled in the Fall Term as a student at the University of Oklahoma.
Hiring contingent upon verification of current student status.

Must be currently enrolled as a college student and meet Federal Work-Study eligibility requirements.

Qualifications:

  • Strong interpersonal and customer service skills.
  • Ability to communicate professionally with clients, staff, and community members.
  • Dependable, organized, and able to follow through on assigned tasks.
  • Comfortable working with individuals from diverse backgrounds and life experiences.
  • Ability to maintain confidentiality when working with sensitive information.
  • Basic computer skills and familiarity with Microsoft Office, including Word, Excel, and Outlook.
  • Ability to learn new computer programs and office procedures.
  • Strong attention to detail and willingness to learn.
  • Professional and compassionate attitude.

Department Preferences:

  • Interest in nonprofit organizations, social services, behavioral health, psychology, counseling, social work, or related fields.
  • Previous customer service, receptionist, or administrative experience is helpful but not required.
  • Comfortable working in a mission-driven environment serving individuals and families experiencing addiction, mental health challenges, and other barriers.
  • A compassionate, respectful, and nonjudgmental approach when interacting with clients and visitors.
