Position Summary
the Assistant
Director of theOut-of-School (OOS) program serves as the second-in-command of theOOSprogram and the Director’s primary operational partner in delivering a high-quality after-school and full-day summer program for students in kindergarten through 8th grade. While the Director owns program vision, budget, staffing decisions, partnerships, and regulatory accountability, the Assistant
Director owns execution: converting the Director’s program design into daily and weekly plans, supervising and coaching the program team, safeguarding quality and safety on the program floor, and keeping records, data, and compliance documentation review ready.
Champion the Malone Center mission, vision, and values in all internal and external engagements.
Translate the Director’s program design into weekly activity plans, lesson blocks, staffing assignments, and daily schedules for both theacademicyearand summer sessions.
Oversee the consistent delivery of academic support, enrichment clubs, recreation, social-emotional learning, and youth development activities for students in kindergarten through 8th grade.
Conduct structured program-quality observations, document findings, and lead follow-up coaching,reporttrendsand recommended improvements to the Director.
Ensure program spaces are prepared, safe, welcoming, and reset each day, and that materials and equipment are ready before students arrive.
Monitor staff-to-student ratios and coverage in real time and adjust placements as needed tomaintainproper supervision.
Lead the operational execution of program transitions, including school-yearto summer changeover and back-to-school launch.
Directly supervise the OOS front-lineprogramstaff and volunteers.
Participate in recruitment by screening applicants, conducting interviews, and recommending candidates to the Director for hiring decisions.
Lead staff onboarding and orientation, and deliver ongoing in-service training on behavior support, trauma-informed practice, safety procedures, and CACFP requirements using materials developed with the Director.
Build staff schedules and coverage plans for Director review, and manage day-to-day timekeeping, shift changes, andabsencecoverage.
Provide regular coaching, feedback, and documented performance observations; draft performance evaluation input and support staff in setting and tracking SMART goals.
Facilitate weekly team meetings and ensure decisions, updates, and expectations are communicated consistently across all staff and shifts.
Address routine performance and conduct concern sin accordance withorganizationalpolicy and escalate formal disciplinary matters to the Director.
Ensure activities are age-appropriate, culturally responsive, and grounded in trauma-informed and restorative practice.
Serve as the escalation point for behavior incidents beyond the Supervisor’s scope, providing de-escalation, intervention, and follow-up with students and families.
Develop andmonitorindividual behavior support plans in partnership with staff, families, and school personnel as needed.
Oversee student incentive, recognition, and youth leadership initiativesestablishedby the Director.
Complete and review incident documentation for accuracy and timeliness andensure required notifications are made.
Manage day-to-day family communication, including enrollment intake, orientation, daily updates, and routine concerns.
Represent the OOS Program in school-based and community meetings asdesignatedby the Director.
Coordinatelogisticsfor family engagement events, open houses, and community partnership activities.
Maintain positive, professional relationships with school staff, families, funders, and partners, and route contractual or agreement-level matters to the Director.
Ensureaccuratedaily attendance, meal and snack counts,production records, menus, and point-of-service documentation are complete din accordance withCACFP, USDA, state, and organizational requirements.
