HJF is seeking two highly organized, proactive, and detail-oriented Program Coordinators to perform a wide range of administrative and operational research duties in support of the National Institute for Defense Health Cooperation (NIDHC). Specifically, this position will support the Pre-and Post-Crash Care (PPCC) Program, executed on behalf of the Department of Transportation's National Highway Traffic Safety Administration.

The Program Coordinator will serve as a central point of coordination for operational activities between internal and external stakeholders. The successful candidate will facilitate high-level communication and coordination across partner organizations, federal agencies, and internal HJF/USU leadership to ensure mission alignment. By managing complex scheduling, tracking key deliverables, and streamlining workflows, the Program Coordinator provides the essential administrative infrastructure necessary for the PPCC Team to effectively execute the program objectives.

The National Institute for Defense Health Cooperation (NIDHC) was established in 2025 by combining three defense entities: the National Center for Disaster Medicine and Public Health (NCDMPH), the Center for Global Health Engagement (CGHE), and the Defense Institute for Medical Operations (DIMO). Its mission is to support military and civilian health operational readiness in crisis and conflict through training and education, planning and partnership, and research and analysis.

Based at the Uniformed Services University, NIDHC is a federal organization and academic center that supports the DoD and the federal interagencies.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners.

HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.

  • Provides administrative support under the direction of a supervisor, including assistance with hiring, purchasing, and tracking progress.
  • Supports in coordinating internal and external events and meetings, including venue procurement, planning coordination, materials support, and calendar management.
  • Supports a wide range of operational duties: drafting/editing reports, presentations, and spreadsheets.
  • Manages schedules, prepares meeting agendas, takes meeting minutes, and proactively follows up on action items and next steps identified.
  • Maintains and organizes shared electronic files (e.g., Google Drive), ensuring proper document version control and accessibility.
  • Assists in ensuring all required reports are completed and submitted on time.
  • Communicates effectively with internal staff and external customers.
  • Serves as a primary point of contact for external stakeholders, ensuring professional and efficient communication.
  • Supports in scheduling of meetings with stakeholders and project teams.
  • Assists with contract execution for subawardees; coordinates the collection of quotes, statements of work, and other documentation necessary for award issuance and contract management.
  • Supports logistics for site visits, program reviews, and multi-agency meetings, including travel arrangements and facility coordination.
  • Performs other duties and responsibilities as assigned or directed by the supervisor.
Education and Experience
  • Bachelor's Degree required
  • Minimum of 0 - 2 years experience required
Required Knowledge,

Skills and Abilities
  • Strong written and verbal communication skills, with the ability to draft clear, professional documents.
  • Knowledge of project coordination principles, office automation tools, and information management best practices.
  • Prior experience or strong foundational knowledge in EMS/emergency medical care, hospital systems, 911 dispatch operations, law enforcement, judicial systems, or operational research is highly desired.
  • Prior administrative support experience to include C-suite experience is preferred.
  • Ability to work independently, exercise sound judgment, problem solve, and prioritize tasks effectively.
  • Exceptional ability to manage multiple projects, prioritize shifting deadlines, and maintain meticulous records.
  • Familiarity with federal organizations or military health systems is beneficial but not required.

Ability to obtain and maintain a T1 Public Trust background check.

  • This position will take place primarily in an office setting.
Compensation
  • The annual salary range for this position is $52,800-$75,000. Actual salary will be determined based on experience, education, etc.
