Office Manager
This position manages the operation of a high school central office and serves as secretary to the principal. The position provides various support services for students, parents, staff, and the public; monitors the building budget, tracks expenditures, and provides regular updates on the building’s finances to the principal; promotes positive public relations for the school and the district.
Responsibilities- Manage the operation of the central school office and establish central office procedures.
- Greet parents, students, and visitors; answer telephone and respond to inquiries; screen calls for administrators; receive and distribute mail.
- Provide secretarial support to the principal and administrators: maintain appointment calendar, schedule meetings, format and type correspondence, forms, memoranda, reports.
- Maintain staff absence and time‑worked records; prepare payroll forms; arrange substitute teachers and provide materials.
- Track and maintain the building budget; create purchase orders and place building orders.
- Record and store field trip information.
- Take primary responsibility for Associated Student Body (ASB) accounting records: collect, receive, and deposit ASB monies; process purchase requests; maintain accurate ledgers; prepare reports.
- Type, review, and proof graduation diploma lists and commencement programs.
- Provide lead direction to office staff; arrange coverage; train and supervise student assistants.
- Maintain confidential records and files for staff and students.
- Assist staff with printing and copying; troubleshoot office equipment.
- Make non‑instructional decisions in the absence of administrators; sign designated forms.
- Manage special projects and events; assign locker combinations.
Reports to Principal.
Working ConditionsWorks in office environment with frequent interruptions; exposure to visual display terminals; required to deal with distraught or angry parents and students.
Minimum Qualifications- High school graduation or equivalent with three or more years of office experience, preferably involving decision‑making.
- Experience working with adolescents and the public; school district work experience preferred.
- Experience with budgets and accounts payable.
- Training in secretarial procedures or customer service may substitute on a month‑to‑month basis for one year of required experience.
- Knowledge and skills: general secretarial procedures, proper grammar, 60 wpm typing, ability to use office machines, organizational skills, independent judgment, confidentiality, interaction with adolescents, and building good relationships.
- Ability to operate computers and learn specific software (Business Plus, Frontline, Microsoft Office, Google Workspace, Performance Matters).
- Knowledge of certificated and classified union contracts is a plus.
Salary is based upon the current NEOPA Salary Schedule (Level I); placement determined by Human Resources. FLSA:
Non‑Exempt. Work year: 260 days per year, 8.0 hours per day.
Benefits:
