Job Description:

Asset Lifecycle Management (ALM) Administrator

Position Summary The Asset Lifecycle Management Administrator is responsible for systematic tracking, installation, and removal of laboratory equipment throughout their entire lifecycle, from acquisition through deployment, maintenance, and final disposal. Operating within an R&D environment, this role facilitates asset preplanning, site assessments, and ensures all asset-related activities are documented, tracked, and compliant with regulatory standards. By optimizing equipment usage, managing inventory, coordinating maintenance, and driving process improvements, the ALM Administrator supports efficient and safe laboratory operations while controlling costs and preparing the lab for evolving technological needs.

Key Responsibilities
  • Oversee the entire lifecycle of lab assets, including acquisition, installation, usage, scheduled maintenance, and final disposal or redevelopment.
  • Maintain accurate and up-to-date records of all laboratory assets, tracking location, condition, and usage via asset management software and technologies (e.g., RFID).
  • Schedule and coordinate preventive and corrective maintenance for new lab equipment, including managing service contracts and vendor relationships to ensure equipment reliability and minimal downtime.
  • Create, review, and process asset requests; ensure all asset-related activities—including moves, additions, and changes (MAC)—are fully documented and tracked.
  • Coordinate/Conduct site assessments to plan for asset allocation, installation, and disposition, optimizing lab layout for safety and efficiency.
  • Ensure all equipment meets regulatory, audit, and safety standards; maintain comprehensive documentation and prepare necessary compliance and performance reports for management.
  • Recommend and support process improvements to enhance lab efficiency, streamline operations, and position the lab for future needs and technological advancements.
  • Work closely with research staff, facility management, and vendors to facilitate asset management processes and respond proactively to operational needs.
Skills and Qualifications
  • Bachelor’s degree in Life Sciences, Engineering, Laboratory Technology, Business Administration, or related field (or equivalent experience).
  • 2+ years experience in laboratory operations, asset management, or facilities administration, ideally in an R&D or regulated environment.
  • Proficiency with asset management software, inventory control technologies (RFID, barcode systems), and electronic recordkeeping.
  • Strong organizational and project management skills; detail-oriented with excellent time-management abilities.
  • Working knowledge of laboratory equipment and regulatory requirements (e.g., GLP, GMP, ISO).
  • Experience with working in a database tool:
    Computerized Maintenance Management System (CMMS).
  • Effective communicator, both verbally and in writing; able to interact with technical staff, management, and vendors.
  • Demonstrated ability to analyze processes, identify improvement opportunities, and implement solutions.
  • Experience in vendor management and contract negotiation is a plus.
Physical/Work Environment Requirements

Laboratory, office, and facility settings; may include occasional lifting or moving of equipment/supplies. Ability to conduct walk-throughs and site assessments. Able to lift up to 50lbs.
