About the RoleAs a Patient Care Coordinator, you are often the first impression and final connection point in our patient experience. You’ll own the front-of-house journey: from greeting and scheduling to education and follow-up, ensuring every patient feels welcomed, supported, and excited about their care with us.
This role is ideal for someone who is highly organized, warm, thrives in a fast-paced environment, and loves helping people look and feel like the best version of themselves. You’ll play a key role in the flow of the practice, working closely with providers, leadership, and clinical teams to support seamless care and help patients move confidently from consultation to treatment.

What You’ll Own- Create an exceptional first and last patient experience—greeting, scheduling, and supporting patients throughout their visit
- Manage inbound calls, emails, appointment coordination, and follow-up communication
- Guide patients through treatment recommendations and rebooking, supporting consult-to-completion conversion
- Process payments, maintain accurate documentation, and support front-office administration
- Assist providers with documentation, photo uploads, VISIA use, and treatment room preparation
- Support retail product education and skin care sales through confident patient guidance
- Maintain confidentiality, compliance standards, and a clean, organized environment
- Contribute to practice performance by driving rebooking, patient satisfaction, and conversion goals
- Actively participate in team meetings, trainings, and continuous improvement efforts
- Experience in a customer-facing or administrative role (hospitality, aesthetic, medical, or wellness setting preferred)
- Exceptional communication and relationship-building skills
- Strong multitasking ability and comfort working in a high-volume environment
- A proactive, team-first mindset—happy to jump in and help where needed
- High attention to detail, reliability, and ability to maintain confidentiality
- Curiosity and willingness to learn about aesthetic treatments and skincare

- Base Salary: $23.00-$26.00 per hour
- Earning Potential: $23.00-$32.92 per hour

Bonuses are tied to key impact areas such as:
- Contributing to team booking goals
- Supporting strong rebooking rates
- Must be able to lift up to 15 pounds at a time.
- Prolonged periods of sitting at a desk and working on a computer.
- Prolonged periods of standing for up to 8 hours at a time.
