Job Purpose

Provide high-level administrative, leasing, marketing, project, and property support to the commercial development team. The Commercial Development Coordinator helps keep department priorities organized, supports tenant and property-management communications, coordinates real estate marketing efforts, and assists with development, residential lot, event, and executive projects.

Job Summary

This position is responsible for coordinating daily Development Department operations, maintaining accurate records and marketing materials, preparing recurring property and tenant documents, supporting meetings and travel, and assisting with special projects across commercial development, property management, residential lots, and company events. The role requires strong judgment, confidentiality, follow-through, customer service, and the ability to manage competing priorities with minimal supervision.

Duties and Responsibilities Administrative & Department Coordination
  • Coordinate meetings, calendars, travel arrangements, department notes, and general administrative support for the Development Department.
  • Assist with office coordination, document preparation, filing, mailing, supplies, lunches, and other department needs.
  • Maintain organized department records, project files, lease files, correspondence, and related documentation.
Commercial Leasing, Property Management & Tenant Support
  • Maintain and distribute DeHoff rent rolls and related property information.
  • Prepare and coordinate rent commencement letters, rent increase letters, option-to-renew notices, termination agreements, and other tenant correspondence as assigned.
  • Assist with property management support, tenant communications, and follow-up tracking for DeHoff and Brookwood properties as needed.
Marketing, Brokerage & Development Support
  • Update and maintain commercial property listings, marketing materials, broker communications, property information, and website/listing platform content.
  • Assist with broker blasts, lead forms, marketing sheets, advertisements, photos, and other public relations or marketing efforts.
  • Support ICSC and other trade-show preparation, including registration, travel coordination, marketing updates, and related materials.
Residential Lots, Farm Leases & Property Documentation
  • Coordinate residential lot documentation, architectural review submissions, builder communications, compliance deposits, and sold-lot tracking.
  • Assist with farm lease renewals, CAUV filings, development exhibits, site information, and other property-specific documentation.
Events, Meetings & Special Projects
  • Prepare PowerPoint presentations, newsletters, exhibits, donation requests, and supporting materials for company meetings and leadership projects.
  • Assist with company events, holiday preparation, tenant gifting, ticket distribution, annual meetings, travel arrangements and other special projects as assigned.
Required Knowledge,

Skills and Abilities
  • Broad knowledge of office procedures, processes, and professional business practices.
  • Strong computer skills, including Microsoft Word, Excel, PowerPoint, Outlook, and related office and marketing platforms.
  • Ability to learn and use real estate, listing, design, and database platforms, including CoStar, Loop Net, Canva, Yardi, SharePoint, Mail Chimp and similar tools as needed.
  • Strong verbal and written communication skills with the ability to communicate professionally with tenants, brokers, builders, vendors, municipalities, leadership, and team members.
  • Strong organizational skills, attention to detail, and ability to manage deadlines, follow-up items, and multiple projects at once.
  • Ability to maintain confidentiality and exercise sound judgment when handling company, tenant, property, and executive information.
  • Strong customer-service mindset and willingness to support department needs as priorities change.
  • Ability to work independently, take initiative, and identify ways to improve organization, communication, and workflow.
