Position Summary The Chapel Services Coordinator provides operational, administrative and ministerial support for Walsh University’s chapels and liturgical life. The position coordinates chapel schedules, liturgical ministers, student employees, supplies, records, collections, communications, weddings and other chapel events; assists with Masses, prayer services, retreats and special programs; supports the University Chaplain; and helps ensure that chapel spaces are welcoming, prepared and maintained in a manner consistent with Walsh University’s Catholic mission.

The Coordinator also develops and maintains relationships with surrounding Catholic parishes, schools, diocesan offices, clergy, young-adult communities and Catholic organizations in order to strengthen collaboration, extend hospitality and connect the University’s liturgical and ministerial life with the wider Church.

Essential Duties and Responsibilities The essential functions include, but are not limited to, the following:

Maintain an accurate calendar for ministry and non-ministry use of chapel spaces and coordinate scheduling details with Campus Ministry, Facilities and other campus partners.

Coordinate the logistical and liturgical preparation of University Masses, Adoration, prayer services, holy days, and other special celebrations, including events involving the Bishop, visiting clergy or invited speakers.

Recruit, schedule, communicate with and support chapel volunteers, including altar servers, lectors, sacristans, extraordinary ministers of Holy Communion and other liturgical ministers.

Provide day-to-day supervision, training and task direction for assigned student employees or work-study students.

Prepare chapel spaces before liturgies and events and oversee appropriate cleanup, reset and secure storage afterward.

Monitor inventory, track expenditures and order chapel and liturgical supplies, including candles, altar bread, wine, incense and other approved materials.

Replace sanctuary lights and altar candles; care for chapel plants and furnishings; and coordinate routine upkeep or service requests through the appropriate University departments.

Help oversee the operational and liturgical readiness of Our Lady of Perpetual Help Chapel and the St. Teresa of Calcutta Chapel.

Count, document and deposit Sunday collections and other chapel gifts in accordance with University cash-handling procedures.

Develop and distribute clear communications concerning Mass times, sacramental opportunities, chapel updates and public events through email, print, social media and other approved channels.

Build and maintain working relationships with surrounding Catholic parishes, the Diocese of Youngstown, Catholic schools, religious communities, clergy, youth and young-adult ministries and other Catholic organizations.

Serve as a point of contact for Catholic community partners seeking information about University liturgies, sacramental opportunities, retreats, speakers, service initiatives and other appropriate programs.

Identify and help coordinate opportunities for joint liturgies, prayer services, retreats, service projects, formation programs and community events with Catholic partners, subject to the direction and approval of the University Chaplain.

Invite and welcome members of nearby Catholic communities to appropriate public liturgies and events, and assist visiting groups, clergy and ministry leaders with hospitality and logistical needs.
