Position Summary
The Harnett County Public Health Department is currently recruiting for a Processing Assistant IV position. The primary purpose of this position is to manage vital records, serve as notary public, lead the switchboard, assist in appointment scheduling, scan and upload files, process USPS and courier mail, and transport daily bank deposits and interoffice mail.
Hiring Range$36,697.00 to $42,660.00
Duties and Responsibilities Vital RecordsDeputy Registrar for vital records: responsible for electronically reviewing, signing, and processing birth (including in-home births) and death registrations using the electronic birth and death registration systems. Handle burial transit and disinterment/reinternment permits from funeral homes, hospitals, and physicians, review certificates for accuracy, and return incomplete registrations. Maintain paper records of vital records per the Records Retention Policy.
Switchboard / Patient SchedulingPrimary responsibility for a multi‑line switchboard and scheduling for Health Department clinic services. Direct callers to clinic staff or other departments, and guide the public to other county agencies such as the Department of Social Services, County Personnel Office, County Finance Office, Register of Deeds, and other county agencies. Manage a high volume of daily telephone calls from patients.
ScanningDuties include scanning flu data sheets, shot records, and other required data into Patagonia; assisting in all scanning of medical records, lab results, and other documentation. Perform audits on all scanned records to ensure files are linked to the correct client in Patagonia and properly named.
MiscellaneousAct as backup for taking daily deposits and interoffice mail to other county departments. Sort and date‑stamp incoming mail, including courier mail. Attend departmental staff meetings, team meetings, and trainings. Recommend changes in work procedures. Assist the Nursing Director with medical record releases and with mailing monthly patient statements. Cross‑train to perform Processing Assistant IV duties as needed. Other duties as assigned.
Knowledges,Skills, & Abilities
General knowledge of office procedures, ability to learn and apply guidelines, use a variety of office equipment, communicate courteously with people, screen communications independently, record and compile information, provide instructions on work processes, lift and carry boxes up to 30 pounds. Obtain Notary Public appointment after hire.
Minimum QualificationsHigh school graduation and at least two years of office assistant/secretarial experience, or an equivalent combination of training and experience.
License or Certification Required by Statute or RegulationValid North Carolina driver’s license.
Work ScheduleNormal work schedule Monday through Friday, 8:00 am to 5:00 pm with one hour lunch. The work week consists of forty hours. Compensatory time may be worked on a volunteer basis for health fairs, Board of Health, etc. In times of disaster, the position may be assigned to a Shelter team and function as support staff at the emergency shelter.
