JOB DESCRIPTION
Employee performs a variety of office and/or technical tasks to accomplish the specialized processing of information, documents or materials.
Employee reports to Administrative Officer and works closely with them on various agency reports and matters.
Work includes processing bills and writing request for payments for various units and programs to include all foster care payments, trust accounts, and CIP & LIEAP payments.
Processing of agency and program accounts payable & receivables, verification of documents submitted for processing, reconciliation of various program payments, composing memorandums using word processor and transcribing documents, typing correspondences and forms, filing and retention of records related to trust accounts and foster care payments, and proper receipting of funds received at the agency for deposit transmittal.
Work involves significant concentration in the areas of Records and Reports, Files and Public Contact. Employee is responsible for reconcilement of Foster Care reimbursement reports, and assigning SIS numbers for clients.
Work may require the use of a variety of manual or automated office systems/programs used to establish, retrieve, verify, research, update and/or authorize processing actions.
Work can be complex in scope and diligence is essential in completing tasks.
Position requires significant technical knowledge and follow through of application of policies, procedures, laws and regulations.
Position will provide office support to unit as needed.
KNOWLEDGE, SKILLS, ABILITIES
Significant knowledge of office or work unit procedures, methods and practices. Proper use of grammar, vocabulary, spelling and office terminology to compose and/or proofread correspondence, reports and other materials.
Significant knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment.
Ability to learn, review and process information to determine conclusions, actions or compliance with applicable laws, rules or regulations.
Ability to apply a variety of work-related formulas or mathematical calculations.
Ability to record, compile, summarize and perform basic analysis of data.
Ability to independently work with people with courtesy and tact in performing public contact duties that may be sensitive in nature.
Ability to use a variety of office equipment. Mobility to work in a typical office setting which will entail sitting for extended periods of time, able to lift and carry up to 20 pounds, able to see/read printed materials or materials on a computer screen and hearing and speech to communicate over the telephone and in person.
MINIMUM QUALIFICATION
Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.
PREFERRED EXPERIENCE
Extensive Microsoft Office knowledge
