Lerch Bates is seeking a highly organized Administrative Coordinator to support our regional leadership team and office operations. This role works closely with regional management and technical teams to ensure smooth day-to‑day operations, provide administrative and project support, coordinate office activities, and help maintain a professional experience for both employees and clients.

WhatYou’ll Do

- Provide day‑to‑day administrative support to regional leadership and project teams
- Manage calendars, meetings, appointments, and office coordination activities
- Prepare, edit, format, and distribute business documents, reports, presentations, and correspondence
- Support project and client deliverables through document preparation, organization, and quality review
- Coordinate travel arrangements, meeting logistics, conference room scheduling, and team events
- Assist with onboarding preparation and new hire setup activities
- Maintain organized and professional office, conference room, and common areas
- Monitor and order office supplies, kitchen inventory, and operational materials
- Coordinate office vendors, equipment maintenance, shipping, and facility‑related needs
- Receive and distribute incoming mail and prepare outgoing shipments
- Support fleet and equipment tracking activities in coordination with internal teams
- Serve as a welcoming first point of contact for visitors, clients, and vendors
- Coordinate client meetings, lunches, and office events as requested
- Support communication between leadership, project teams, and external stakeholders
- Assist with project documentation, filing, records management, and administrative workflows
- Support special projects and cross‑functional initiatives as assigned
- Contribute to process improvements that increase efficiency and organization
- Maintain confidentiality while handling sensitive business information
- Adapt to changing priorities while delivering high‑quality work and customer service
- High school diploma or equivalent required;
Associate’s or Bachelor’s degree preferred - 2+ years of administrative, office coordination, executive support, or related experience
- Strong proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel
- Experience supporting multiple priorities and stakeholders in a professional office environment
- Excellent verbal and written communication skills
- Strong organizational, planning, and time‑management abilities
- Exceptional attention to detail and accuracy
- Ability to maintain confidentiality and exercise sound judgment
- Strong customer service and interpersonal skills
- Ability to work independently while collaborating effectively with a team
- Experience with Bluebeam or similar document management software is a plus
